The Administrative & Quality Assurance Officer manages the Open Learning team's administrative and quality assurance processes, including maintaining a SharePoint Communication site and Document Library. The incumbent maintains the editorial marketing calendar with a focus on content collection and promotion of open resources and events. The Officer collects, maintains, and analyzes data to measure impact and plan for the long-term sustainability of Conestoga-created open resources.

**Responsibilities**:
**Overseeing Departmental Schedules, Departmental SharePoint Communication Site, Documentation Library, Database, and Associated Documentation**
- Manages the open learning SharePoint communication site and associated documentation library
- Determines appropriate metadata and tagging to generate reports using the SharePoint Communication site documentation library
- Assesses stakeholder Outlook schedules for meeting invites and event reminders
- Prepares and communicates invitations and book in-person/virtual meetings and event rooms
- Liaises with appropriate departments to obtain and complete documentation for events and space bookings
- Maintains a database of event schedules, event planning requirements, and related promotion
- Prepares meeting agendas and captures meeting minutes and action items
- Catalogues and maintains databases of completed raw files and alternative formats for upload into various repositories, both internal and external (e.g. eCampus Ontario Open Library)
- Catalogues and maintains an image library of vetted open licenced media content

**Departmental Quality Assurance Practices**
- Vets Instructor requests for protected Open Education Resources (OER) and Open Access ancillaries, such as Instructor manuals and test banks before the release
- Reviews new institutional-wide policies and procedures and identifies changes required to departmental policy, procedures, and guidelines for evaluation and review with Management
- Creates and maintains departmental best practices documents
- Collates identified gaps in quality and brings them to departmental leadership for evaluation
- Maintains a calendar for follow-up with project teams for ongoing continuous improvement of Conestoga published OER and Open Access projects
- Collects and manages database(s) of creators identifying information such as ORCiD
- Reviews provincial-led changes in OER creation and collate changes for departmental review and implementation
- Regularly catalogues and backup files related to Open creations (e.g., Pressbooks downloads and backups, media backup, H5P backups)

**Collecting, Preparing, and Analyzing Data to Measure Open Project Impact and Prepare Sustainability Plans for Open Projects**
- Tracks data analytics such as Pressbooks analytics, student satisfaction surveys, faculty satisfaction surveys, student savings, grade achievement, and retention statistics for courses using OER and Open Access resources
- Collects statistics from instructor requests for vetted ancillary resources
- Collates feedback from survey forms and focus groups for impact measurement, continuous improvement, and sustainability planning
- Collaborates with internal and external stakeholders on sustainability plans for OER and Open Access project updates, including enhancements and additional ancillary information
- Obtains and completes tracking forms of Open project adoptions for stakeholders
- Collaborates with internal and external stakeholders to track and provide statistics on Open resources adopted in courses, programs, and school departments working towards Z-degrees/Zed-Cred
- Reviews, obtains, inputs, and updates metadata information in OER/Open access creations before publication following open license best practices
- Assists creators in obtaining creator-identifying information like ORCiD for scholarship capture and discoverability of publications
- Obtains Digital Object Identifier (DOI) information from appropriate department(s) and inputs it into the correct metadata fields of content publishing platforms

**Promoting the Widespread Adoption of Conestoga-produced and Published Open Projects**
- Collects content and prepares posts for external and internal social and digital media marketing
- Collaborates with college communication areas, student success, and corporate marketi
