Support Staff Full-time Replacement Position

(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)

The Curriculum Records Officer is an integral member of the Curriculum Planning and Operations (CP&O) department with oversight for ensuring the curriculum operational functions of Conestoga align with curriculum policies, practices, and procedures College wide. The incumbent ensures the delivery of responsive, timely and efficient stakeholder support in the design, delivery, implementation and review of new and existing courses and programs. The incumbent facilitates connections between the operational and curriculum functions of the Curriculum and Operations department to support seamless integration of customer services to academic and administrative areas.

**Responsibilities**:

- Updating the program design database and program publication notes and course descriptions as required
- Assigning course codes, course categories, and establishing other course parameters according to the approved processes and practices
- Creating new course versions, course codes and course code categories when appropriate as outlined in the Course Code Procedure
- Ensuring program titles, structures, admission requirements, and other elements of the program framework are updated and maintained as directed by the manager.
- Ensuring new and revised programs and courses are set up correctly in the Student Information System (SIS)
- Activating programs in consultation with academic administration and other college stakeholders, according to approved processes.
- Monitoring and reporting to the manager on time sensitive processes completion and making recommendations to address related issues
- Reviewing and inputting new program designs and changes to existing designs in SIS while ensuring requests align with Conestoga quality policies, procedures and practices
- Ensuring documentation and forms are developed and maintained related to the operational aspects of SIS to support stakeholders and program and course design, development and revision
- Making recommendations to the Manager on methods that will increase efficiencies and build upon relationships with academic and administrative areas in regards to SIS impacting curriculum planning and operations
- Deciding how to respond to requests from academic areas when requests are outside established processes, timelines, or change windows, in consultation with the Manager
- Liaising with IT and associated stakeholders to develop plans, processes, procedures and documentation for changes to SIS that impact Curriculum and Operations Department scope of accountability
- Developing, maintaining and overseeing the training functions associated with SIS and the Course outline portal
- Confirming which programs Schools intend to offer part-time in upcoming years
- Following up on outstanding course outlines prior to the start of each semester
- Reviewing course outlines submitted by Schools to ensure they comply with the specified format, and approve for release to students via the portal
- Assisting with the course outline submission process through the help feature on the employee portal
- Directing program/course submissions that do not meet current practices and processes to the Curriculum and Degree Quality Consultants
- Providing support to the Curriculum Consultants by providing reports and statistical data related to SIS
- Collecting and reporting on statistical data related to course outline requests, including issues and challenges
- Contributing to the development and dissemination of curriculum resources including forms, aids, reports, and other resources
- Ensuring program designs reflect the Annual Program Reflection (APR) and Major Program Review (MPR) documentation, that program designs and changes align with the internal and external approval documentation and resolving inconsistencies with service and academic areas
- Recommending reports and the associated report elements needed to enhance delivery of services
- Travelling to various campuses as required

**Qualifications**:

- Two-year Diploma in Administration, Education, Technology or related field is required
- Minimum of two years practical experience in higher education working in a service, academic or administrative role is required
- In-depth knowledge of the services and supports typically available to the higher education environment is required
- Knowledge of student information sys
