**Summary**:
The Health& Safety Administrator supports our Health, Safety and Environment (HSE) Team by coordinating training sessions, compiling reports, publishing policies and procedures, tracking and analyzing safety statistics, etc. Individuals with excellent attention to details, comfort with moderate levels of repetitive and administrative tasks and strong communication and interpersonal skills will excel in this role. A passion for Safety and Compliance is a must
The work assignment involves compiling incident reporting documentation, supporting injury claim management, scheduling, updating health and safety manuals, management of purchase requisitions and manual invoicing, office management-type responsibilities, and other general administrative duties as required. Ultimately, the Health, Safety and Environment Administrator ensures the smooth running of the HSE office and supports HSE team members.
**Responsibilities**:
- Support health and safety orientations (for employees and sub-contractors) by putting together orientation packages and PowerPoint presentations.
- Preparing reports and statistical analysis to support the health and safety management system.
- Plan and help coordinate health and safety training including but not limited to WHMIS, Personal Protection Equipment, CPR/First Aid, etc.
- Escalate issues to appropriate levels when required.
- Manage the administration of intranet sites and corporate communication.
- Manage purchase requisitions and manual invoicing for the HSE Team.
- Provide required monthly safety performance reports to management, identify and highlight trends.
- Manage annual updates of health, safety and environment manuals.
- Organize the HSE office layout and maintain the office in good condition.
- Liaise with facility management vendors, including maintenance, cleaning, catering and security services for HSE office.
- Order and organize office stationery supplies and equipment, as needed.
- Provide general support to visitors at the HSE office.
- Plan HSE team meetings, conferences, etc.
- Required to perform other duties as assigned.
**Requirements**:
- Post secondary education in Safety or any other related field of study preferred. Associate's or equivalent degree in Construction or related field (or equivalent experience).
- Knowledge of HSE and HSE experience in an administrative capacity is an asset.
- **5+ years in an administrative role. Priority will be given to those with Health & Safety Administrator (HSA) designation.**
- Proficient in administrative activities requiring attention to detail and advanced working knowledge of Microsoft Office Suite (including Excel, PowerPoint, Outlook, and Word).
- Problem solving skills to analyze data and identify trends.
- Strong interpersonal and communication skills are required.
- Ability to meet deadlines under pressure in a fast-paced environment.
- Excellent time management skills and ability to multi-task and prioritize work.
- Excellent written and verbal communication and interpersonal skills.
- An organized person with the ability to highlight appropriate issues on time.
- Self-directed, takes initiative, and ability to perform as part of a team.
- Positive attitude, professional and reliable.
- Ability to work remotely at worksites occasionally.
- Valid Drivers’ License and ability to provide a Driver’s Abstract
