**Duties and responsibilities**

**Data Integrity**
- Ensure client information for Housing Stability Program is current and up to date on the Homelessness individual and families information system (HIFIS) database
- Act as point of contact for any HIFIS-related questions from the Homelessness Data Coordinator
- File label and secure all client files for HSP and ensure that all client information is kept confidential and secure at all times
- Keep and maintain accurate records of client information
- Work closely with the HSP team and CDCD’s Finance Department to ensure accurate reporting of information
- Analyze data, identify any trends and provide recommendations to the Manager and Team Leads on areas where improvements or adjustments may be needed
- Develop and maintain statistical reports on a monthly, quarterly and yearly basis for the Housing Stability Program (HSP) and the Low-Income Energy Assistance Program (LEAP)

**Housing Programs**
- Conduct client follow-ups at the 3-months, 6-months, and 12-months mark for HSP and when needed, for the Outreach program
- Contact clients and landlords for cheque pick-ups
- Work with the finance team to place a stop payment on cheques when needed
- Prepare cheque requisition and finance packages for LEAP successful applicants
- Work closely with the finance team to ensure accurate reporting for LEAP

**Other**
- Provide clerical/administrative support to the Housing Manager and the Housing Team Lead, HSP and Admin Services when needed i.e., may be called upon to do phone/reception duties during staff absences
- Attend and participate in monthly Housing team huddles, monthly HIFIS working group meetings and trainings
- Meet regularly with Housing admin team to discuss challenges and recommend workflow improvements or adjustments as needed
- Participate in promoting a positive workplace culture through agency committee membership and departmental activities
- Perform other tasks as assigned

**Qualifications**
- Post-secondary education in Social Services or related area of study
- Proficiency in MS Office Applications: Word, Excel, PowerPoint, Outlook, Access, Internet, Databases and Spreadsheets
- Excellent oral and written English communication skills
- Able to work both independently and within a team context
- Must have a high level of integrity and ability to work with confidential and sensitive information
- Highly organized with strong time management skills and the ability to handle multiple projects concurrently and meet tight deadlines
- Strong decision-making ability and keen attention to detail
- Demonstrated ability to work in a fast-paced, team environment
- Must be an excellent problem solver and have strong ability to prioritize
- Knowledge of the HIFIS Database is an asset

**Additional Requirements**
- Ability to work flexible hours, including evenings, and occasionally on weekends
- A valid Ontario driver’s license (Class G), use of a vehicle and insurance with the ability to work in a variety of settings
