**How will this role support our team?**

The Coordinator, Administration provides administrative support to the Director and the Department to support day-to-day operations. The role works to coordinate all administrative operations including liaising with departments across the College to ensure effective operational processes.

**Responsibilities Include (but are not limited to)**
- Provide administrative support to the Director and Department (e.g., summarize and plan action items from meetings, inform and seek input from staff on changes within departments, prepare draft reports, proof-read final reports).
- Analyze workflow processes and compliance with procedures to recommend opportunities to enhance effectiveness. Develop or revise workflow procedures and reports and provide training to team members.
- Support Director in the approval and tracking of invoices, purchase order and budget reconciliation, and other miscellaneous requests.
- Respond to inquiries unrelated to specific complaints about licensees and forward to the appropriate person for response/action.
- Liaise with other departments to facilitate sharing of information (e.g., plan and set agendas for inter-departmental meetings and identify needs for sharing information relating to cases, procedures and reports).
- Maintain databases and records. Support the Director to compile and update data (KPIs and analytics) required to report on the Department’s operations.

- Organizational skills and attention to detail to keep track of administrative processes for the Department and ensure accuracy and completeness of documentation
- Flexibility to work in a fast-paced changing environment as a collaborative team player who demonstrates initiative
- Interpersonal and stakeholder relationship management skills to represent the College as the first point of contact and respond to general inquiries from internal and external stakeholders
- Written and verbal communication skills to prepare a variety of written documentation (e.g., reports, presentations) for other departments and external stakeholders such as the federal immigration department (IRCC) and CBSA officers and serve as the first point of contact for the Department
- Political acuity to understand and manage sensitive issues and communications

**Required Education and Experience**
- College Diploma in a related field
- 5-7 years of administrative experience
- Knowledge of office administration including reconciliation of expense reports, meeting coordination, and creating professional communications
- Knowledge of office/administrative software, databases and learning management systems
