Administrative Manager, Learner Support Services

Reporting directly to the Director Learner Support Services (LSS), the LSS Administrative Manager is to oversee the daily operations of LSS programs and supports the Director of LSS with the NOSM University mistreatment process.
The LSS Administrative Manager also ensures that processes in the administration of LSS Programs are efficient, supported through appropriate software, consistent with the Strategic Plan, and promotes quality improvements, including providing relevant training for UME administrative staff and faculty, as required. The LSS Administrative Manager will support the Director of LSS with the intake, investigation, and reporting for the learner mistreatment procedure/process. The LSS Manager is responsible for the specific tasks outlined below under the direction of the Director, LSS and in collaboration with the PGME & HS, UME, NODIP, and Graduate studies teams.
**Responsibilities**:
**Leadership & Management Supervision**
- Oversees the direction and supervision of the LSS administrative staff and maintains day-to-day activities and events, including providing feedback, providing team leadership and workflow aligned with operational cycles.
- Under the direction of the Director LSS, will conduct complex and sensitive complaint investigations by impartially and objectively conducting interviews, gathering and analyzing evidence, assessing credibility and documenting and articulating findings and recommendations.
- In collaboration with HR and the Director, LSS, negotiates and reconciles settlements of Human Rights and Workplace Harassment and Violence complaints, analyzes and writes investigation and conciliation reports, analyzes statistics derived from these activities and provides informed recommendations for resolution.
- Collaborates with internal stakeholders to promote the visibility of Learner Mistreatment and awareness of Human Rights and Workplace Harassment and Violence through various communications mediums.
- In collaboration with the Director, LSS, manage, develop, implement, and evaluate learner policies and policies and processes shared with other programs.
- Develop and deliver training and provide assistance to LSS staff and other users of LSS systems and software.
- Works in close collaboration with the Registrar and the Director, Admissions and Learner Recruitment and assumes duties and responsibilities as required at the discretion of the Director, Learner Support Services;
- Apprises and briefs the Director, LSS on unit matters that have high-stakes institutional, operational, and relationship implications.
- Acts as a resource to other management teams and provides information to Director, LSS and, where required, prepares briefing notes and reports;
- Maintains lines of communication and positive relationships throughout the NOSM University and with external partners and stakeholders;
- Works collaboratively with the Director, LSS on a constant basis with excellent communication;
- Acts as a member of NOSM University’s Management Group;
**A**dministration & Fiscal Responsibility**
- In collaboration with the Director, LSS, develops and maintains the annual budgets for the LSS Unit
- Provides annual reporting of costs, costs overruns, and cost-saving opportunities across the various elements of the LSS Unit
- Ensures adequate renewal of existing resources, including developing renewal cycles, budgeting, and exploring opportunities for cost efficiencies
- Plans, budgets, and oversees new initiatives and projects as determined by the Director, LSS
- Acts as a representative for the Director, LSS when required
**Learner Support & Educational Support**
- Ensure NOSM University learners are provided with immediate and direct support to NOSM University learners as needed to resolve or escalate issues, redirect with compassionate handover to support personnel, troubleshoot LSS navigation issues and be a general resource when LSS staff may be unavailable
- Collaborates with Learner Affairs Officers, Resident Wellness Program Leads, and other key leaders in learner wellness to ensure programs are striving for a respectful work and learning environment and that learners have knowledge of all avenues of support
- In collaboration with the Director, LSS, ensures NOSM University’s learner mistreatment process continues to be developed and supported
- Provides professional development workshops to university staff and faculty on topics including Mental Health and Wellness, Team-Building, Conflict Resolution, and Leadership Development
- Advocates for and seeks out additional sources of funding/training for the improvement of mental health /wellness initiatives
- Develops, coordinates, and implements learner wellness and learner development initiatives, in consultation with stakeholders
- Functions as a resource person on a variety of internal advisory committees and working groups which focus on learner issues
