We’re looking for an **Office & Employee Experience Coordinator** to join our People & Culture team. Reporting to the Director, People & Culture, you’ll be responsible for overseeing the smooth operation of the Cambridge, Ontario office and assisting with designing and implementing employee experience programs. You will also support our Finance and People & Culture teams with administrative tasks and projects.

In this role, you will work in our office, located at 96 Grand Ave. S, Cambridge, Ontario, Monday - Friday 8:30am - 4:30pm.

**A day in the life as an Office & Employee Experience Coordinator**:
**Office Management**:

- Act as the main contact for building management, contractors and vendors
- Maintain the kitchen area by stocking snacks and drinks, general cleaning, maintaining the coffee machine, kegs, and water machine
- Maintain a safe and orderly office environment by adjusting chairs, assigning desks, watering plants, and keeping the space neat, tidy and supplied
- Order snacks, drinks, coffee and other office supplies
- Track office expenses
- Monitor employee and visitor sign in

**Employee Experience**:

- Plan monthly office engagement initiatives
- Administer employee recognition and acknowledgement program
- Coordinate planning for team events such as booking spaces, ordering food, and organizing transportation
- Assist in coordinating the annual employee multi-day summit

**Travel and Accommodation Management**:

- Maintain and stock the employee condo and manage cleaning with the cleaning service (located next to the office)
- Manage the usage of the employee condo and coordinate details with employees
- In collaboration with our Executive Assistant, manage employee work related travel and accommodations

**Health & Safety**:

- Act as the health and safety program leader by designing and maintaining health and safety policies
- Lead the health and safety committee

**People & Culture Administration**:

- Assist with employee onboarding and offboarding
- Assist with employee file tracking in our HR system

**Finance Administration**:

- Invoice filing
- HST tracking
- Expense reporting filing
- Stock option system data input

**Miscellaneous**:

- Run errands for the office and CEO
- Pick up / drop off CEO as required
- Ship equipment and product across North America

**If the below describe your knowledge, experience and character, then this role could be for you**:

- I have knowledge of professional administration and am looking for more experience in People & Culture and Finance
- I gained my knowledge through completing a business administration program combined with some professional office experience or 2-3 years of professional office experience, preferably in an office coordinator or administrative assistant role
- I am first aid certified or willing to get my certification and act as the first aid contact in the office
- I get extra excited about a clean, organized and welcoming office environment
- I am exceptionally organized and can effectively keep on top of many tasks
- I love to plan events and use my creativity to come up with unique ideas
- I have a valid drivers’ license and reliable transportation to run errands and pick up office supplies (mileage cost can be expensed)
- I thrive in an agile environment that is constantly changing and encourages team members to collectively collaborate and communicate
- I love to be directly involved in projects and initiatives that offer continued learning and endless opportunity to express my ideas and build my skills
