Position Summary:
Under the supervision of the Human Resources Advisor, the Human Resources Coordinator provides a high level of administrative and confidential support for the Human Resources unit of the Faculty of Education. This includes the coordination of a variety of human resources activities including staffing, benefits administration, compensation, payroll, labour relations, training and records management. Acts as first point of contact and provides information related to policies and various collective agreements.

Primary Responsibilities:

- Maintains and ensures accuracy and completeness of employee files in Workday. Addresses discrepancies.
- Processes and verifies various business transactions in Workday such as time entries, payments, appointments and reappointments, promotions, leaves, absences and terminations as required. Ensures that deadlines are met.
- Assists with the full cycle of recruitment, which includes but it is not limited to preparing and translating postings, scheduling interviews, coordinating testing and checking references.
- Assists with the coordination of onboarding and off boarding process for Faculty of Education staff.
- Assists with the preparation of human resources related requests. Gathers relevant documentation, compiles statistics and runs reports. Ensures all deadlines are met
- Maintains and updates spreadsheets to keep up-to-date records of the unit.
- Maintains a grievance database. Compiles documentation for grievance, arbitration and contacts units for information.
- Organizes human resources shared drive and folders and responsible for human resources archive.
- Schedules various meetings and contacts participants. Assists with preparation of agenda. Attends meetings, takes minutes and follows up on action items.
- Liaises with internal and external clientele, including central HR, unions, faculties/departments, to obtain/exchange information.
- Assists with various requests and/ or projects and performs other related duties as required.

Other Qualifying Skills and/or Abilities Customer service skills with a proven ability to deal effectively and diplomatically with sensitive situations. Time management and organizational skills with an ability to prioritize and multi-task in a fast-paced environment. Accuracy and attention to detail. Experience in HR related functions and activities is an asset. Excellent interpersonal skills with an ability to establish and maintain effective working relationships with various stakeholders at all levels. Strong communication and problem-solving skills with the ability to work independently and in a team. Results oriented with a demonstrated ability to effectively plan work and meet deadlines. Demonstrated ability to work in a PC environment using word-processing, advance databases, spreadsheets, presentation software. Knowledge of HRIS and/or Workday is an asset.
