This position is situated in the Department of Mechanical Engineering, Faculty of Engineering. This is a full-time, regular position without an end date.

Position Summary:
In support of the University’s teaching, learning and research goals and objectives, provide a high level of confidential administrative and technical support to a faculty/department/unit/library/laboratory in accordance with University policies and procedures. This includes the coordination of a variety of activities, including providing support on budget and accounting tasks; assisting with University committees; coordinating human resources tasks; scheduling, maintaining and preserving the University’s library collections, records and information; demonstrating techniques and setting-up experiments. Provide information to employees and students concerning University policies and procedures.

Primary Responsibilities:

- Works with academics and administrative staff in the Department, oversees all appointments, which consists of a high volume with a high turnover of Postdocs, TAs, Course Lecturers, Visiting Professors, student research positions, etc. Coordinates all payroll activity (casuals, overtime, bonus’, guests, etc.).
- Acts as the main resource person in the Department on policies and procedures regarding payments, appointments, immigration, and compliance. Verifies requests and guides professors, administrative staff and students on these topics and ensures that eligibility criteria, regulations and compliance are properly followed by all.
- Provides information on the different collective agreements (MCLIU, AGSEM, AMURE, AMUSE), the boundaries of unionized positions and any updates that occur. Requires in-depth knowledge of these collective agreements and works with academics to ensure that they are respected.
- Liaises with Faculty HR, Central HR and other specialists to resolve any problems that arise to deal with complex cases.
- Ensures that deadlines are met and acts as backup or resource for smaller Departments in the Faculty where certain situations (immigration, internat trainees) come up rarely so the expertise of the role is needed.
- Maintains personnel files and keep spreadsheets up-to-date, records of payments, postings, appointments, offers of employment, etc. Ensures that documentation is complete.
- Works closely with the Department’s Financial Administrator to ensure adequate funding exists for payments/appointments and to help ensure that funding agency guidelines are followed
- Coordinates and creates job postings.
- Coordinates Graduate Research Trainee, Undergraduate Research Trainee and Postdoc registration. Liaises with Enrolment Services to resolve any issues that occur.

Human Resources experience and familiarity of collective agreements, desired. Ability to work independently. Strong communication skills and ability to interact positively and effectively on a professional level with internal and external parties. Demonstrated organizational skills and ability to multi-task. Ability to prioritize, meet strict deadlines and to work under pressure. Must be service-oriented and able to transmit and receive information accurately. Excellent written communication and interpersonal skills. Demonstrated ability to work in a PC environment using Windows, word-processing, databases, spreadsheets, Banner, Minerva (SIS) and Workday. Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
