**Overview**

**Responsibilities**
- Greeting visitors and receiving phone calls.
- Providing administrative support for the development of letters, reports and proposals in accordance with company templates and quality procedures.
- Logging, transmitting and receiving documents through the document control software interface following established operating procedures and work instructions.
- Receiving and sending out courier packages and general office mail.
- Ensuring there is adequate inventory of office and kitchen supplies, ordering supplies as required.
- Event planning for conferences, training activities and special events.
- Maintaining promotional items inventory.
- Processing invoices for approval and payment.
- Support staff in the preparation of travel arrangements.
- Maintaining general cleanliness of main areas such as the lobby, staff kitchen, and conference room.
- Maintaining office equipment
- Organization and maintenance of our in-office library.

**About You**

To fill the role, we’re looking for an applicant to bring forward a good mix of qualifications and previous experience. Some highlights could include:

- Minimum of 2 years of administrative or related experience.
- Post-secondary certificate/diploma in an administration or business field is preferred.
- High level of proficiency with Adobe Acrobat and Microsoft Office suite, especially Word and Excel, is essential.
- A professional manner combined with the flexibility to multi-task and meet deadlines and changing priorities.
- Ability to work in a team environment with strong collaborative skills.
- Ability to learn new systems and adapt to change quickly.
- Excellent organizational, interpersonal, and communication skills.
- Ability to build relationships and collaborate with employees and senior management.

Hours of Work: 40 Hours/per week
