**Position Summary**

The Lazaridis School of Business & Economics strives to be leaders in our communities and help shape the future. We generate, disseminate, and implement knowledge about business and economics for the betterment of the world in which we live. We use our impactful research and experiential approach to education to meet the dynamic needs of our local, national, and international stakeholders.

The incumbent is responsible for providing a wide range of administrative assistance within the Lazaridis Institute, for example:

- **Logistics Support**, through organizing travel and accommodation, room bookings, ordering supplies and special orders, managing inventory, and managing incoming and outgoing mail and parcels;
- **Financial Support**, through managing receipts, reviewing and processing expense and PCard forms, and processing invoices and special payments; and,
- **Executive Support**, through managing the agenda, communications, and documents of the Lazaridis Institute’s Senior Leadership team, scheduling meetings, and taking minutes.

The incumbent reports to the Associate Director, Executive Programs & Startup Lab and supports the Academic Director of the Lazaridis Institute.

**Accountabilities**

**Customer Service and Communication Support**
- Provides a welcoming and professional environment to guests, visitors, and dignitaries.
- Ensures that the appropriate websites are kept to-date and compliant with AODA standards.
- Proofreads documents, as requested, for spelling, grammar, and style.
- Ensures that documents are compliant with AODA standards.

**Logistics Support**
- Organizes taxis, shuttles, flights, and accommodations for staff, faculty, and visitors.
- Facilitates travel visas, when necessary, for staff, faculty, and visitors.
- Manages room bookings for meetings and events.
- Orders office supplies for staff and faculty.
- Places special orders, as required.
- Manages office, marketing, and event supply inventories.
- Manages incoming and outgoing mail and parcels.
- Develops and manages an electronic filing system to ensure that documents are to-date, sorted correctly, and available for team collaboration.
- Assists in the coordination and logistics of academic visitors.
- Assists with report preparation and distribution.
- Updates Institute database as necessary.
- Collaborates with other Lazaridis Institute staff on logistics, when necessary, to ensure that the business of the Institute is completed in a timely fashion.

**Financial Support**
- Stays current on Laurier’s expense policies and procedures as outlined in the Expense Handbook.
- Processes receipts for reconciliation purposes.
- Completes, reviews, and processes expense and PCard forms.
- Processes invoices and special payments through shopLaurier.
- Collaborates with other Lazaridis Institute staff on finances, when necessary, to process expenses and payments correctly in a timely fashion.
- Provides budget updates and reports.

**Executive Support for the Senior Leadership Team**
