**Description**
The **Graduate Programs in Education team** in the **Werklund School of Education** is currently seeking a Full-time Regular Graduate Program Coordinator.
This position reports directly to the Manager, Graduate Programs in Education in Graduate Programs in Education (GPE), with strong accountabilities to the Associate Dean Graduate Programs in Education.The incumbent will be expected to independently perform specialist duties, exercising a high degree of judgement, and independent thought. Strong organizational, analytical, and problem-solving skills are required in order to deal effectively with complex tasks and issues. This position initiates and provides accurate and timely reports to the Vice Dean, Associate Dean and Manager, and is responsible for maintaining accurate tracking systems.
The work requires strong analytical abilities and strategic thinking. The incumbent will provide expert advice on improving operational efficiencies through the development, revision, and implementation of effective program processes. In this position there is a high degree of complexity, moderate to high stress and high impact of error as this individual is expected to perform at a fully proficient level.
The normal workday is 7 hours per day, five days per week, Monday to Friday. This is a regular full-time position and is part of the AUPE Collective Bargaining Unit. Flexible hours may be required to meet faculty, staff, and student needs.
**Summary of Key Responsibilities** (job functions include but are not limited to):
- Involved in short-term and long-term planning of GPE programs and course schedules (online, off-campus and on-campus courses)
- Identify issues and possible solutions and bring such issues to the Associate Dean and Manager for discussion, negotiation, and resolution
- Responsible for the tracking system for all Sessional hires within Graduate Programs and works with the Office of the Dean, and Undergraduate Programs in Education to ensure tracking is accurate and up to date
- Ensure information regarding new sessional hires is made available to appropriate individuals within the School and Human Resources
- Promote GPE's programs in regional, national, and international contexts, and assume a leadership role in the design/development of marketing materials (website, brochures, banners)
- Participate in the planning and execution of student-facing events such as conversion, orientation, graduation, and work-integrated learning events
- With the Manager, Graduate Programs in Education, support Graduate Program recruitment and admission initiatives, in collaboration with WSE Marketing & Communications and the Faculty of Graduate Studies, including workshops, information sessions, information materials (such as websites and associated links, handbooks, forms)
- Plan and execute orientation activities for incoming students, including ongoing direction and onboarding support
- Will conduct market research, analyze results, and identify trends and issues in graduate programs
- Acts as a liaison with IT, the Registrar's Office, and other campus community members
- Special projects (as determined by the Associate Dean and Manager of GPE)
- Ensures timely production of an accurate schedule of GPE classes each year for Fall/Winter and Spring/Summer and using Peoplesoft and ASTRA schedule software inputs and updates GPE courses
- Manages and monitors space allocation in accordance with University and Werklund policies and practices
- Collaborates with other units to ensure the creation of a conflict free academic schedule
- Identifies any anomalies or problems with the items listed above and ensures that issues are promptly brought to the attention of the Manager
- Coordinates Graduate Student Workspace for 150 spaces in Education Tower. Works with the WSE Administrative Assistant in coordinating and scheduling distribution and collection of graduate student workspace keys. Works with UCalgary campus security to provide electronic access for students to workspaces
- Key contact to over 125 sessional instructors for GPE and acts as a liaison with potential/prospective instructors
- As Sessional Academic Coordinator for all GPE sessional hires, is the forms initiator for all HR related transactions, initiates new hires and changes for existing sessional staff as appropriate
- Using the Elevate Platform, posts Graduate Assistantship Teaching (GAT), Graduate Assistant Research (GAR) entries for all GPE positions using Elevate The incumbent will draw on previous experience in the administration of distance education programs to formulate and implement result-oriented, cost-effective marketing plans.
