**Job Overview**

The job of the assistant is to ease the workload of the executive by taking on coordinating and administrative duties, leaving the executive to focus on the decision making.

**Responsibilities can include but are not limited to**:

- Anticipate issues and initiate appropriate action to ensure the most effective use of executive's time.
- Responsible to spearhead meetings and take appropriate action to follow up with each parties
- Oversee status of all projects and maintain detailed list on behalf of executive
- Gate Keeper of executive's time while ensuring discretion and strict confidentiality
- Responsible to manage the donations summary, Christmas list, and other lists
- Responsible for property management and coordinating repairs/ renovations (5 Properties)
- Responsible to oversee Drivers, housekeepers, Handyman, Landscaping, General Maintenance, Tenants.
- Responsible for the meal plan, orders, catering
- Responsible for banking
- Provide day-to-day administrative support including; filing, faxing/scanning, research, obtain quotes, purchase orders, drafting and preparing correspondence
- Assist with the management of Website & other Media; current & updated on a regular basis.
- Generate and maintain various reports & spreadsheets.
- Track, Coordinate, Standardize and Order Office Supplies & Stationary Supplies

**Requirements**:
**Qualifications that will guarantee success in this role**:

- Excellent interpersonal, written and oral communication skills
- Ability to take initiative and demonstrate approach to needs as they arise.
- Strong organizational and time management skills
- Strong attention to details
- Self-motivated, proven ability to work independently and as a member of a team.
- Complete tasks in a professional and timely manner with accurate results.
- Strong planning and problem solving skills
- Good mathematical skills
- G license with clean abstract

**Education and Experience**
- College or University degree.
- 5-10 years of demonstrated experience as an Administrative Assistant.
- Office experience in the construction industry a plus
- Accounting background an asset
