The Canadian Alliance of Physiotherapy Regulators (CAPR) is a non-profit organization founded in 1992 to provide centralized evaluation services to the provincial and territorial physiotherapy regulators of Canada.

CAPR also provides knowledge brokering and policy services to advance harmonized regulatory practices and support labour mobility across Canada and collaborates with other organizations in the Canadian physiotherapy community on regulatory projects with national and international scope.

We are seeking a permanent full-time Executive Assistant to CEO.

Reporting to the Chief Executive Officer (CEO), the Executive Assistant provides senior administrative support to the Office of the CEO. The position provides support for all executive functions including corporate communications, executive scheduling, report preparation and distribution, executive records keeping and website maintenance. The position provides administrative and logistics support for The CAPR Board of Directors, Committee meetings and all related governance activities. The position enables the CEO’s effectiveness and efficiency by providing a wide range of tasks and information management, and professionally represents the CEO to all internal and external stakeholders.

**KEY RESPONSIBILITIES**:

- Produces executive information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, graphics and various media.
- Supports the CEO by:

- Reading, researching, and appropriately routing correspondence;
- Drafting communications, letters, agendas, minutes and other corporate documents;
- Collecting and analyzing information; and,
- Initiating communications.
- Maintains the CEO's schedule by coordinating, prioritizing and scheduling meetings, conferences, teleconferences and travel.
- Provides administrative and logistics support for the Board and all committee meetings, including ESC (Evaluation Services Committee), GNC (Governance and Nominations Committee), Registrars’ Committees, and related activities.
- Provides administrative and logistics support to the Human Resources department.
- Provides historical reference and maintains CEOs information by developing and utilizing document management systems.
- Maintains and updates information on the CAPR website.
- Maintains stakeholders’ confidence and protects operations by keeping information confidential.
- Adheres to CAPR policies and procedures and escalates issues and complaints to the CEO and/or the Leadership team.
- Adheres to The Alliance Policies and Procedures and escalates issues and complaints to the Chief Executive Officer and/or The Alliance leadership team as required.
- Participates in The Alliance’s quality improvement initiatives.
- Other duties as assigned.

- Demonstrates excellent time management and work prioritization skills in assessing situations and executive information requests to determine urgency.
- Demonstrates the ability to develop and adjust work and meeting schedules and prepare and distribute all requisite materials and logistics according to required timelines.
- Demonstrates excellent calendar management skills, including the coordination of complex executive meetings and management of conflicting meeting requests.
- Demonstrates excellent time management skills.
- Ability to multi-task with a keen focus on attention to detail

**Qualifications**:

- College diploma or undergraduate degree;
- 7-10 years’ work experience in supporting C-Suite executives;
- Administrative experience in supporting a Board of Directors and governance activities;
- Related customer service experience;
- Event planning experience;
- Strong command of Microsoft Office including Word, Excel, PowerPoint, Teams and Outlook; Adobe Acrobat; Zoom
- Fluency in French language is an asset.
