We are seeking a detail-oriented Administrative Assistant to join our team
**Job Scope**
The Front Desk Administrator plays a crucial role in creating a positive first impression for our Clients, Visitors, and Coworkers. The Front Desk Administrator will ensure the smooth functionality of the Front Desk and Lobby area by managing phone calls, incoming and outgoing mail, administrative tasks, etc.
**Responsibilities**:
- Always maintain a Safety Mindset and contribute to a Positive Workplace Culture.
- Create a welcoming environment by providing exceptional service to all guests, clients, and co-workers.
- Answer, screen, or route incoming calls to the appropriate employee/department.
- Assist all team members, Management, and Leadership when requested.
- Ensure all guests and employees sign-in using the paper-log.
- Perform regular filings of DVIRs, BOLS, FLRAs, JHA’s, HOS, etc.
- RST and Bushell
- Provide assistance to the Director of Safety and Compliance by document retention, pulling reports such as SMS or Carrier Profiles, Shop Work Orders, Truck Driver paperwork, data entry, software navigation, etc.
- Responsible for maintaining the general appearance of the reception area, lobby, lunchroom, bulletin boards, conference room, etc. by ensuring basic housekeeping standards are adhered to.
- Ensure that company information such as Brochures or other marketing tools are restocked and presented in a professional manner.
- Order and maintain office and shop supplies as needed using the EMDECS software.
- Collect Truck Driver Documentation and ensure Truck Driver Binder compliance.
- Participate in meetings, type meeting minutes, schedule meetings, and assign task items.
- Assist in event planning, preparation, and execution.
- Ship or receive and distribute mail, packages, and special deliveries.
- Perform additional tasks as required.

**Qualifications Required**:
- High School Diploma
- Proficient with Microsoft Suite; with an emphasis on Word, Excel and Outlook.
- Minimum of 2 years of experience as an Administrative Assistant.
- Fluent in English
