The position reports to the Manager, Human Resources and to the Health&Safety Manager.**:
**Accountabilities and Key Functions**:

- The Administrative Assistant will be responsible for the day-to-day office administration, will coordinate meetings and will provide administrative support to both the Manager, Human Resources, and to the Health&Safety Manager.**Role & Responsibilities**:
**Primary responsibilities for this position include the following**:
**_Reception _**
- Meet and greet guests/clients in a courteous and professional manner,
- Answer and direct calls to the appropriate individual,
- Book and maintain boardrooms / meeting rooms daily for meetings,
- Maintain office/kitchen (empty/start dishwasher, verify pantry inventory, etc.),
- Obtain signatures from signing officers,
- Coordinate catering requests for meetings,
- Arrange couriers,
- Collect, sort, and allocate mail,
- Send and distribute incoming and outgoing faxes,
- Verify office supply inventory, maintain copier and postage meter.

**_Administrative Support _**
- Provide administrative support to the team,
- Preparation of written correspondence,
- Travel booking and coordination,
- Management of corporate credit cards,
- Prepare documents, presentations, and/or spreadsheets,
- Organize and coordinate internal and external meetings,
- Provide back-up support for other administrative staff as required.

**_Health&Safety Support _**
- Assist with Health & Safety administrative duties,
- Assist the H&S Manager with various admin tasks:
- Track reports,
- Edit and print documents,
- Order Personal Protective Equipment (PPE),
- Book training sessions,
- Take minutes of meetings,
- Collect data from project sites on a monthly basis,
- Update documents in E-Compliance safety platform and Procore.

**Knowledge, Skills & Abilities**:

- Strong computer skills, proficient in Microsoft Outlook, Word, Excel, Acrobat and PowerPoint,
- Solid and empathetic communicator; able to convey and explain information verbally and in writing,
- Highly organized self-starter, able to multi-task with excellent time management skills
- Excellent teamwork and people skills; an ability to serve others, and make a great impression,
- Excellent telephone manners,
- Self-motivated, professional, and flexible; able to work both independently and within team,
- Thorough attention to detail and able to perform with high accuracy,
- Willing to learn the construction business.

**Minimum Requirements**:

- Minimum of 3 years’ work experience in an administrative role,
- Good verbal and written communication and interpersonal skills.
