Are you ready to be the heartbeat of our Housing & Hospitality Services? We’re seeking a dynamic **Administrative Assistant** to join us and make a difference in the lives of our guests and students. Reporting to the Assistant Manager, Housing Services you’ll be at the forefront of ensuring smooth operations and exceptional service delivery.
**What You’ll Do**:
- Assist Housing & Hospitality management with daily and annual updates in the StarRez system to facilitate Housing and Hospitality best practices, including but not limited to: setting up Self Select in StarRez, setting up digital contracts and integrating DocuSign in StarRez, supporting room changes at peak times and configuring StarRez room types, and designing, creating, and editing reports in StarRez
- Assist Housing & Hospitality management with research and analysis of best practices for Housing and Hospitality occupancy management, testing and implementation of features such as online-contracts, data-subscriptions, pro-rate tool etc., recommending changes to streamline current housing/hospitality business practices. Make recommendations based on research and analysis for requests and implementation of new/additional software processes and maintain data integrity in StarRez (room management software).
- Support on-going financial processes within the department, which includes processing payments from students and guests, daily cash-out, tracking, reporting, and disbursement of student awards and scholarships, and oversight of the tenant insurance program.
- Participate in move-in and move-out of residents and guests, including overseeing creation of key packages, electronic contract tracking, etc.. And assist with department and campus-wide events as needed (e.g. evacuees, large-scale conferences, etc.)
- Assist with administrative tasks related to marketing, recruitment and programming.
- Create and maintain departmental files and related filing, paper and electronic.
- Develop and generate reports using StarRez and provide occupancy/room related stats reports as requested, assist in maintaining data integrity.
- Develop and maintain training materials for Housing & Hospitality processes, particularly for StarRez for staff and students.
- Order and maintain office supplies inventory.

Position Requirements
**What You’ll Bring to this Position**:
- Grade 12 supplemented by the successful completion of a recognized business course combined with a minimum of three years directly related experience.
- An equivalent combination of education, training, and experience may be considered.
- Experience working in a residential environment or higher education is an asset.
**Skills That Will Ensure Your Success in the Role**:
- Skill in the use of Microsoft Office (Word, Excel, Access, and Outlook-GroupWise) and complex databases, such as Banner.
- Experience with StarRez is an asset.
- Experience configuring computerized customer management systems.
- Experience in records management and tracking of information.
- Ability to maintain confidentiality of records and information.
- Experience developing training materials and documenting processes.
- Ability to manage and handle cash transactions.
- Demonstrated knowledge of generally accepted accounting principles, procedures, and processes.
- Ability to organize multiple tasks and meet deadlines while maintaining accuracy and attention to detail.
