Opera on the Avalon is seeking a highly motivated and creative Special Events Coordinator to join our team for the exciting "Year of the Arts." This year-long initiative aims to showcase and celebrate various forms of art, including opera, music, theater, visual arts, and more. As a Special Events Coordinator, you will play a pivotal role in planning, organizing, and executing a series of memorable projects throughout the year.
**Key Responsibilities**:
- **Event Planning and Execution**: Collaborate with the artistic and administrative teams to plan and execute a diverse range of special events and initiatives, including concerts, exhibitions, workshops, digital projects and fundraisers.
- **Venue Selection**: Identify suitable venues for each event, negotiate contracts, and ensure all logistics are in place.
- **Budget Management**: Develop and manage event and project budgets, ensuring cost-effectiveness and adherence to financial guidelines.
- **Vendor and Partner Coordination**: Liaise with vendors, contractors, partners and service providers to secure necessary resources.
- **Marketing and Promotion**: Work closely with the marketing team to create promotional materials, including flyers, social media content, and press releases, to maximize event attendance and awareness.
- **Guest Relations**: Oversee guest lists, invitations, and RSVPs. Ensure a seamless guest experience, including registration, seating, and hospitality.
- **On-Site Management**: Be present at events to oversee all aspects of execution, troubleshoot any issues, and ensure the event runs smoothly.
- **Post-Event Evaluation**: Conduct post-event evaluations to assess the success of each event, gather feedback, and make improvements for future events.
- **Collaboration**: Collaborate with artists, performers, sponsors, and community partners to ensure a cohesive and successful Year of the Arts program.
**Qualifications**:
- Bachelor's degree in Business Administration, Arts Administration, Hospitality, or a related field (or equivalent experience).
- Proven experience in event and project planning and coordination.
- Excellent organizational and project management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Creativity and an eye for detail.
- Proficiency in Adobe, Canva, and Microsoft Office Suite.
