**Position Overview**:
**Key Responsibilities**:
- **Phone and Communication Management**:Answer and direct phone calls to appropriate parties or take messages. Greet and assist visitors when they arrive at the office.
- **Office Supplies and Inventory**:Order office supplies and keep inventory of stock. Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.
- **Meeting and Event Coordination**:Schedule and coordinate meetings, appointments, and events. Book meeting rooms and conference facilities. Plan in-house or off-site activities, like parties, celebrations, and conferences.
- **Office Administration and Maintenance**:Organize office maintenance and repair work.
- **Human Resources Support**:Assist in the onboarding process for new hires.
- **Handling Payments and Receivables**:Process incoming and outgoing payments in a timely manner. Prepare and send invoices to clients. Follow up on outstanding payments and manage accounts receivable. Reconcile financial transactions and maintain accurate financial records.
- **Basic Contract Administration**:Assist in preparing, organizing, and maintaining contract documentation. Track contract timelines, milestones, and deliverables. Coordinate with relevant departments to ensure contract compliance.
- **Inventory Ordering**:Monitor and manage inventory levels to ensure adequate supplies. Place orders for new inventory, ensuring cost-effectiveness and timely delivery. Maintain and update inventory records.
- **General Administrative Support**:Assist in organizing and scheduling meetings. Prepare and distribute meeting minutes and other documentation as needed. Perform other administrative tasks as assigned by the owner or management.
**Qualifications**:
- Proven experience as an Administrative Assistant or similar role.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- Attention to detail and problem-solving skills.
- High school diploma; additional qualifications in Office Administration or relevant field will be a plus.
- Must possess a valid driver’s license and have access to a personal vehicle for work-related errands.
**Application Process**:
Pay: $38,000.00-$65,000.00 per year
