Administrative & Personal Assistant

We are looking for a mature, hard-working and cheerful Personal Assistant. As a positive, well-organized, enthusiastic professional, you will have the flexibility and skills to manage competing priorities.
**Position**: Assistant to the President & Vice President
**Compensation**: $40,000 - $55,000
**Expected Start Date**: As soon as possible (within 2 weeks minimum)

**Responsibilities**:
- Responsible for prepping morning start-up in President’s and Vice President’s office daily
- Responsible for hosting morning meeting with the President/VP to execute the day’s calendar goals
- Calendar management utilizing MS Outlook to schedule and organize meetings, tasks and appointments, must be flexible with last-minute schedule changes and urgent meeting requests and ensure they are executed smoothly
- Anticipate scheduling conflicts/problems and providing alternatives
- Organize all teleconference & zoom meetings in a timely manner and provide updates
- Compute, record, and proofread data and other information as deemed necessary
- Responsible to ensure the daily function of the President’s calendar/ tasks/ appointments move and execute smoothly

- Research, coordinate, and book all important appointments & personal and business trips including travel/hotel/car arrangements as required
- Responsible for close out of the end of the day with the President
- Must follow detailed daily checklist every day before leaving the office for the President’s success
- Liaison with managers and team members as needed
- Other tasks or projects as assigned
**Business and Personal Responsibilities (as required by the President of the Company, including but not limited to)**:
- Running personal errands
- Picking up children family members when needed
- Vehicle Maintenance services
- Daily Meal Preparations
**Qualifications**:
- Minimum 3+ Years’ experience as a Personal Assistant or Administrative Assistant in a demanding and busy schedule
- Post-secondary degree/diploma in a related field required preferably in Business Administration, Finance or Investments/Real Estate
- A “no task is too small or too big” attitude
- **Flexibility is key**:
- Excellent technology skills in using all Microsoft Suite Software’s including, MS Word, Outlook, Google Chrome, etc.
- Advanced Excel skills including VLOOKUP, HLOOKUP, XLOOKUP, PivotTables, Macros, etc.
- Excellent oral and written communication skills; ability to express ideas and procedures clearly and concisely; ability to work with highly sensitive information
- Demonstrated organizational and time management skills to meet stringent deadlines
- Be well organized and have advanced problem-solving skills
- Superior attention to detail, organizational skills and calm demeanor
- Able to Type a minimum of >50 words per minute
- Resides in close proximity to office in Vaughan (preferred)
- Must own a vehicle and have full access at all times
- Must have full G-License
- Mandatory attendance in Company Corporate Events
**Work Schedule**:
- Monday - Friday: 8:00AM - 4:30PM
- Saturday (as required): 8:30 AM to 5:00 PM with Friday’s Off in lieu
- Work Remotely: No
