**Scheduling Coordinator**

**Schedule: 8AM-4PM, Week 1: Wed, Thurs, Fri, Week 2: Tues, Sat, Sun (2 week rotation)**

**Position Summary**:
The Schedule Coordinator is part of the HR team and is responsible for adequate staffing for all shifts, monitoring attendance, preparing timecards and addressing time-off requests. The Scheduler is part of a 3 person team sharing responsibilities amongst each other. They will support the HR functions of Shalom Manor Long Term Care Home and Shalom Manor Non-Profit Seniors Assisted Living. All work shall be done in accordance with the Mission, Vision and Values of the Home, Resident Bill of Rights, applicable legislation and regulations, corporate policies and procedures and collective agreements.

**Required Qualifications/Experience**:

- Diploma in Health Office Administration, Business Administration, Accounting or equivalent.
- Previous scheduling experience required, preferably in a healthcare setting.
- Demonstrated proficiency in operation and use of a computer, related technologies and software required for the role
- Ability to work both independently (self-directed and motivated) and as part of a team
- Demonstrated problem-solving skills
- Ability to address conflict positively

**Key Accountabilities**:

- Complete scheduling and payroll functions for the Programs & Support Services, Nursing and Dietary departments, ensuring all shifts are filled, and if unable to fill a shift communicating promptly to the appropriate department manager or designate.
- Work with individual department managers to ensure adequate distribution of staff during periods of staffing shortages.
- Schedule/Monitor vacation time, floats and sick time (etc.) for the unionized staff pool.
- Replacing call-in vacant shifts for all departments.
- Schedule generation and timecard approvals as per every 4 week schedule and bi-weekly payroll.
- Ensure vacant shifts/postings are filled in a timely manner as required according to corporate policies and procedures and the collective agreement
- Monitor attendance for patterns, concerns and availabilities and reporting any perceived concerns to the appropriate department manager.
- Coordinate orientation of new staff.
- Ensure timely and accurate completion of schedules in accordance with legislation, collective agreements and internal requirements.
- Promote good understanding and teamwork between home areas, shift and all departments.

Part-time hours: 22.5 per week
