Job Overview:
Al-Terra is looking for an Administrative Assistant/Receptionist who is detail-orientated, self-sufficient, proactive, and adapt multitasking skills, constantly seeking new challenges. As the Administrative Assistant, you will be the main contact at our reception desk, tasked with representing the firm and fostering a welcoming atmosphere for clients, all while ensuring smooth daily operations. Responsibilities encompass, but are not limited to: Duties:

- Greet clients and visitors in a professional manner and direct them to the appropriate area.
- Managing incoming calls with professionalism and efficiency.
- Overseeing boardroom logistics, including scheduling, preparation, tidying, lunch orders, and snack procurement.
- Maintaining a tidy, organized, and inviting front desk and reception area.
- Handling incoming and outgoing mail and couriers.
- Maintain office supply inventory and place supply orders.
- Maintain office administrative equipment and systems (photocopiers, phones, plotters, etc.).
- Proficiency in data entry and digital filing, and accounting software data entry.
- Manage document templates and provide quality control of documents leaving the office.
- Maintain administrative office documents (reception handbook, employee handbook, staff information lists, contact lists).
- Offering support to the administrative team, directors, and engineering staff as needed.
- Willingness to take on additional duties and occasional overtime as necessary.

Qualifications:
- 3-5 years administrative experience or equivalent (graduate of Office Assistant/Technology).
- Intermediate MS Office skills, specifically the ability to work with Word, Excel, PowerPoint, and Outlook.
- Basic Accounting knowledge a necessity including AP/AR.
- Knowledge and skills working with PDF editor software is beneficial.
- Excellent customer service skills and a friendly demeanor.
- Excellent verbal and written communication skills.
- Analytical skills with attention to detail.
- Willingness to take on new tasks.
- Reliable, with excellent attendance history.
- Self-starter who is resourceful and result oriented.
- Ability to set priorities and meet deadlines.
- Team player but also can work independently.
- Superior time management skills.
- The ability to multi-task and work well under pressure.
- Ability to work independently and in a team environment.
- Commitment to continuous improvement and excellent customer service.

**Salary**: $21.00-$23.00 per hour

Expected hours: 40 per week
