Under the direction of the Office Manager, the Supervisor of Mechanical Administration serves as a conduit of communication between employees and Management. Motivates employees, makes difficult decisions and resolves issues. Handles the details of daily operations. Leads training and learning opportunities for the department, trouble shoots problem areas, introduces new processes and tests them before implementation. Ensures the department runs efficiently, which includes overseeing staffing in peak and off-peak periods, managing the workload to ensure deadlines are obtained, making sure their team is effectively performing within the standards (time and quality) established.

**Hours of Work**:
Monday to Thursday 8 hours/day (8am - 5pm) and on Friday 7 hours (8am-4pm).

**Essential Responsibilities**:

- Leads training and learning opportunities for the department, trouble shoots problem areas, introduces new processes and tests before implementation.
- Ensure that the approved office policies, practices and procedures are understood and followed.
- Ongoing support and guidance with all team members with questions or concerns.
- Ensure that the department runs smoothly and it is a positive and engaging place to be.
- Updating procedures for all areas within the department.
- Assist Office Manager in documentation of the 30, 60 and 90 day probation for new employees as well as annual performance evaluations for applicable employees.
- Assist the Office Manager with performance management and disciplinary discussions where needed.
- Training new staff on all aspects of the Mechanical Administration position.
- Liaise with the Dealer Support Department with testing new products before implementation/roll out to ensure all bugs are found at the data entry level and fixed.
- Month end reporting, audit reports & distribution of appropriate reports to the individuals who handle them. Ensure all month end tasks/reports are completed in a timely manner.
- Reviewing & sign off on various correspondence to our customer’s or Dealerships (IPP Refunds, replacement certificates, outgoing correspondence etc).
- Assisting the team as needed to help with coverage or short staff.
- Daily problem solving and troubleshooting with all areas in the department.
- Other duties as required.

**Qualifications**:

- High school diploma.
- Further study in business-related fields of: computing and information technology or human resources or management or public administration, would be preferred;
- Post-Secondary degree, diploma or certificate in business administration, applied management, communication & language or related fields is a definite asset.
- Requires a significant knowledge of the company’s Administration process and overall operations;
- A solution seeker with excellent interpersonal skills, attention to detail, communication skills (verbal and written) highly organized with excellent time management skills;
- Working knowledge, average capability of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly used office packages.
- The ability to prioritize tasks and work under pressure.
- Integrity, resourcefulness, creativity, assertiveness and flexibility.
- Experience working in AS400, is an asset.
