**Position Overview**

The Shipping Office Administrator drives shareholder value by supporting operations management to ensure smooth and efficient inbound and outbound product shipments. Ensures all shipping documents are complete and accurate. Communicates with the Sales team, Production team, Inventory team and Warehouse team so that information is shared, updates are entered into the system and order fulfillment is achieved. Provides professional customer service to internal departments and delivery drivers. Updates and maintains Shipping Office standard operating procedures and trains others as required.

**Responsibilities**

Responsibilities will include but are not limited to:

- Coordinate daily workflow for trucks, loads and shipments.
- Update and follow shipping schedule strictly as orders may be updated for products, quantities or delivery dates throughout the day.
- Stage and prepare shipments in accordance with the shipping schedule and daily shipping instructions.
- Prepare bills of lading, invoices and other shipping documents.
- Confirm purchase orders match with shipping documents.
- Ensure ASN’s (Advance Ship Notice) are sent and accepted.
- Receive details of all items in each container and create a packing slip from that information.
- Verify system information before creation of bills of lading or picking ticket in order to ship product correctly.
- Manage incoming and outgoing Multi
- Commodity Activities Program (MCAP) inspection documentations and check sheets of trucks and containers to ensure compliance.
- Coordinate with the production and warehouse teams as required to update or modify shipment data.
- Ensure the accuracy of all shipping documents by strict adherence to standard operating procedures.
- Work closely with management to understand the volume and resource scheduling plan for orders and the respective deadlines which must be achieved.
- Interact with truck drivers and shipper/receiver team to ensure driver gets correct load.
- Ensures on-time shipping performance, works closely with shipper/receiver team and truck drivers to ensure receipts and shipments meet standards.
- Provide additional backup support in warehouse and plant as required.

**Key Success Measures**
- Accurate and timely order entry and invoicing.
- Accurate and timely coordination of inbound and outbound shipping.
- Accurate and timely administration and filing of documentation (physical and electronic).

**Qualifications and Considerations for the Position**
- College or secondary diploma.
- 1-2 years of experience in a warehouse and distribution center in an admin role.
- Good oral, written and communication skills; able to develop and maintain strong working relationships with all stakeholders.
- Proficient in computer software, such as inventory / traceability software, manufacturing software (GP Dynamics) and Microsoft Office (Excel).
- Excellent ability to plan, organize and prioritize with attention to detail and accuracy.
- Strong math skills to compute weight, cost and other variables.
- Excellent organizational and interpersonal skills.
- Organized self-starter with proven ability to co-ordinate and effectively follow up on multiple activities and meet all deadlines.
- Team player with high integrity, values and a positive attitude and a sense of urgency.

Important Information:

- Work Location: Five days per week, 8 hours per day, West-end Toronto, near the public transportation line.
- All TLC employees are required to be fully vaccinated with a Covid-19 vaccines series, approved by Health Canada, as a condition of hire.
