OVERVIEW

PURPOSE

The BCMEA is recruiting for an Operations Support Coordinator who will be a member of the Training, Safety and Recruitment department.

ROLE OVERVIEW

This role is responsible for answering all inquiries relating to training and recruitment, directing visitors, answering incoming calls and a large variety of other operational tasks in support of the department.
RESPONSIBILITIES

SCHEDULING & TRACKING

Schedule and track training programs.

PREPARING CORRESPONDENCE

**Prepare correspondence, reports and other documents re**: Trainer promotion letters, exit reports.

PORT PASSES

Issue port passes during recruitment.

OFFICE SUPPLIES

Order office supplies, maintain office files, photocopy documents and respond to telephone inquiries.

CATERING AND ROOM BOOKING

Organize catering for meetings and book classroom and meeting rooms upon request for training.

CLAIMS SUPPORT

Provide claims support with correspondence to WSBC.

OPERATIONAL ASSISTANCE

Assist with the operations, coordination and logístical efforts of special projects as required.

DIGITIZE RECORDS

Digitize training records and ship hard copies to Iron Mountain.

RECEPTION & ADMINISTRATION

Responding to telephone inquiries, collect and distribute mail, schedule meetings, provide back-up support to reception on other floors as required.

SUPPORT TEAM MEMBERS

Provide support for ratings/ capabilities and training payroll.

DOCUMENT SCANNING

Maintain, scan/ upload documents to in house software and close training records.

DATA ENTRY

Data entry for all Training, Safety & Recruitment related documentation.

**REQUIREMENTS**:
ORGANIZATION

Superior organizational skills. Ability to prioritize and meet deadlines. Superior attention to detail. Ability to multitask.

TIME MANAGEMENT

Excellent time-management skills.

CRITICAL THINKING

Critical thinking and the ability to resolve issues in a timely manner.

EDUCATION

A high school diploma or equivalent with a minimum of one year of work-related office or administrative experience.

SELF-STARTER

Capable of working independently with mínimal supervision and collaboratively as a member of a team.

COMMUNICATION SKILLS

Self-starter with excellent verbal and written communication skills.

MICROSOFT PROFICIENCY

Proficiency with Microsoft office, primarily Outlook, Word and Excel required.
