**PRIMARY PURPOSE**

To be a welcoming and helpful office assistant by performing administrative duties relating to human resources. The role requires a high level of organization, a keen attention to detail, excellent time management skills, and a willingness to adapt and take on new duties.

**Primary Role - Key Accountabilities**:

- Maintain filing of hard copy personnel documents and scan/upload to HRIS.
- Cross reference information to ensure accuracy across all HR platforms.
- Compile onboarding kits and other personnel related documentation.
- Develop statistical reports on pertinent employee information and trends.
- Complete general HR administration tasks, as required by People & Culture team.
- Maintain strict confidentiality at all times

**Act as backup for Reception/Office Administrator - Key Accountabilities**:

- Greet visitors to the Head Office location.
- Handle catering orders for meetings and events.
- Use a booking reservation system to make bookings as needed (phone calls/walk-ins).
- Respond to requests for donations and complimentary passes.
- Participate in staff meetings while taking meeting minutes.

**Education/Experience**:

- Post secondary diploma in office administration or related degree.

**Other Skills and Abilities**:

- Bilingual French/English would be an asset.
- Ability to meet deadlines and prioritize work.
- Proficient with the use of Microsoft Word, Excel, and Outlook.
- Ability to provide excellent customer service and diffuse conflict.
- Professional maturity and tact regarding access to sensitive information.

**Schedule and Work Environment**:
The workplace is the head office in Charlottetown and the workstation is an open reception desk near the entrance. The hours for this position are generally from 8am to 4pm; however, as an essential industry that operates seven days a week, evening and weekend work will sometimes be required.
