JOB TITLE

Events Manager

REPORTS TO

Director of Hospitality

JOB PURPOSE

Responsible for building the reputation, client loyalty and profitability of Upcountry Event Venues through program development, planning, design, production, promotion, marketing, and overall co-ordination of events thatenhance our brand-to-client experience and contribute to ROI.

ROLES AND RESPONSIBILIITES
- This role is directly responsible to oversee all administrative and operational aspects of preparing and selling events and catered parties.
- Work in collaboration with the culinary and service teams to ensure that the expectations of clients are exceeded. Shared between Coordinator and Manager
- Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials.
- Research resources, make site visits, and lead pre-event meetings when necessary to help staff make decisions about event design.
- Oversee client experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases.
- Maintain and build a comprehensive database of industry contacts and vendors. Coordinator
- Troubleshoot and handle any issues that arise on the event day Coordinator and manager
- Manage all aspects of event planning meeting strict deadlines and budget demands.
- Manage the teams inventory and accurate COGS
- Provide accurate and timely information to all internal and external stakeholders.
- Coordinate with internal staff, clients, vendors, and others to establish needs for events
- Accountable for the day-to-day operations of the event venue including staffing costs and training.
- Organize and lead pre and post evet debriefs and meetings with all staff. Share between Coordinator and Manager
- Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges.
- Prepare and ensure timely reconciliation and invoicing with accurate post and pre-event billing. Shared responsibility between Co-ordinator and manager
- Ensure accuracy and timeliness of payroll records related to Events
- Establish standard procedures and train staff to execute them.
- Present marketing strategies to increase profitability for both UpCountry Venues and The Ktchn
- Coordinate social media for UpCountry Venues
- Maintain calendar, including meetings, rehearsals, and site tours
- Implement strategies to attract new business.
- Other duties as assigned

**Qualifications and Requirements**
- Proven success as an event planner or coordinator
- Exceptional interpersonal and communication skills
- Experience in maintaining and building business relationships
- Excellent organizational skills, including multitasking, time management, and meticulous attention to detail
- Ability to handle pressure and make split-second decisions
- May be required to work a rotating schedule including weekends, evenings, and holidays
- First Aid Certificate an asset
