Job Summary

Reporting to the Department Manager, and receiving work direction from the Developmental Area Faculty Members, the Community Outreach and Recruitment Coordinator (the Coordinator) is responsible for providing administrative and project coordination support to faculty members in the Developmental Psychology area to meet recruitment objectives for online and lab studies requiring children, parents and family participants. The Coordinator plans, manages, and coordinates data collection, reporting, analysis and data quality and integrity processes of the Developmental Database system, including monthly allotments to research studies, and training and oversight of database users within and outside the Developmental Area. The Coordinator develops, plans, and implements recruitment strategies and initiatives in the community to expand the database with prospective study participants with the aim of increasing participation in research lab and online studies. The Coordinator also organizes and oversees undergraduate volunteers from each of the faculty’s labs who volunteer to support recruitment and study implementation. This position develops solutions to improve existing recruitment processes and lead the implementation of solutions or revisions to procedures and protocol.

Through community recruitment efforts that identify, target, and build connections with potential and existing community partners, the Coordinator serves as the primary resource and liaison between community stakeholders and the Developmental Psychology Area faculty and graduate students. This position increases public awareness of the Developmental Psychology research activities, facilitating knowledge translation through publications, media, and community outreach as desired by local key stakeholders including, schools, school boards, day cares, government agencies, non-governmental organizations, and other external partners.

**KEY RESPONSIBILITIES**:
Database Management and Coordination:

Maintain, refine and verify accuracy of a comprehensive computerized database of all study participant information. This includes creating and maintaining up to date records, data extraction, running established system queries to support research study requirements and information needs, troubleshooting problems in data transmission and follow up to resolve discrepancies or anomalies. Utilize queried information to complete reports within required timeframes. Design, implement and manage recruitment digital filing system ensuring information is accurate, current, and organized for long-term access.
- Allocate families and children in the database for each research project on a monthly basis.
- Serve as the first point of contact for study participants and their families, students, faculty, and community partners, investigating and resolving enquiries, liaising and redirecting to the appropriate individuals as needed.
- Provides communication, resource consultation, and/or advisory support to all researchers and research assistants involved in the various projects active in the Developmental Psychology program. Advises and provides guidance to Developmental faculty on administration, operation and direction of the developmental database system. Research or synthesize answers to questions and solves problems with mínimal supervision, keeping the Department Manager aware of important matters requiring their attention
- Evaluate requests from non-Developmental faculty to access the database in consultation with the faculty recruitment coordinator and Developmental faculty as needed. Administers access privileges according to protocol and policy.
- Provide database training support, including the development of online orientations, training materials, coordinating and delivering training for new volunteers using the Developmental Database (i.e., contacting families and recording information). Oversees all database user access and usage, ensuring adherence to protocol, information security and privacy best practices.

Recruitment Coordination:

Plan, schedule, and coordinate logistics and delivery of recruitment and outreach events and information sessions related to the recruitment of families to join the Queen’s Developmental Database. This includes participating in on and off campus recruitment events, as well as virtual outreach activities, rrepresenting, profiling and promoting the developmental faculty’s research studies.
