Joining our team as an integral member, you will report to the Director, Human Resources and play a vital role in providing timely and effective support to both Habitat colleagues and external stakeholders. In this role, you will be expected to collaborate with stakeholders to understand their needs, provide guidance and support to address their concerns and ensure their satisfaction with our services. Additionally, you will be responsible for maintaining accurate records and implementing improvements to enhance the quality of our services.

**Your Impact**

The Operations Administrative Assistant is the first point of contact for Habitat Canada's national office. They represent the organization and provide a welcoming and helpful presence to staff, supporters, and visitors. You will handle inquiries in a professional and courteous manner and manage the office equipment, supplies, and data entry on a daily basis.

**Customer Service**:

- Welcomes visitors in person or on the telephone.
- Manages the reception area to ensure effective communication.
- Knowledgeably responds to questions relating to local Habitat offices, ReStores and general inquiries about Habitat for Humanity.
- Triages calls by asking clarifying questions and conducting preliminary research.
- Directs calls to the appropriate Habitat Canada department.
- Works with the Affiliate Success team to problem-solve, identify emerging trends, and manage affiliate relationships.
- Maintains a Dynamics database of incoming, active, and resolved communications.

**Office Management**:

- Handles incoming and outgoing mail and courier packages.
- Supports the smooth functioning of the office, including meeting room setup and office catering.
- Maintains office supplies: monitors inventory, anticipates requirements, places orders & confirms receipt.
- Provides ongoing administrative assistance to staff, including onboarding and IT connectivity support, liaising with building personnel as needed.
- Manages office expense management including submitting invoices through the Concur expense management system.
- Coordinates maintenance of office equipment pertinent to daily operations.
- Assists with administrative overflow and special projects from other departments as needed.
- Coordinates scheduling of IT contract for refurbishing laptop inventory.
- Correspond with vendors for requests, issue management, and ad hoc projects.
- Assist with onboarding and offboarding procedures for staff, including IT and equipment setup, scheduling onboarding meetings, and updating the organizational chart.
- Update files related to IT service contracts in SharePoint libraries.
- Perform other administrative tasks and ad hoc projects as assigned by the HR team.

**Qualifications**:

- Positive, friendly attitude and excellent telephone manner
- Reception and customer service experience
- Proficiency in Microsoft Suite (Excel, PowerPoint, Word, etc.)
- Attention to detail and accuracy to problem-solving skills - solution-focused and proactive
- Self-directed and able to adapt to new working environments
- Strong organizational skills and desire to work as part of a team

Salary Range

**$42,295 - $45,000**
