**Reports To**:Executive Director

**Position Description**:
The Administrative Assistant is responsible for carrying out core administrative duties and providing quality administrative services for the Executive Director, Associate Executive Director and Director of Administration and Operations. Technically and logístically proficient, the position supports administrative processes. Additionally, the Administrative Assistant works to improve the revenue of the organization and associated programs by assisting the Director of Administration and Operations in implementing our fundraising strategy.

**Job Duties**
- Carries out core administrative duties and file maintenance, for human resources, financial, and related functions
- Responsible for a range of finance-related administrative tasks, including processing of invoices and receivables, processing petty cash, supporting payroll, and the use of Quick Books to support our bookkeepers
- Provides administrative support to the Executive Director, such as managing correspondence, preparing presentations and briefing notes, maintaining calendars, scheduling meetings, updating contact and distribution lists, recording minutes of meetings, etc.
- Manages the administration of the Board including communication, logistics and preparation for meetings, i.e., agenda development, RSVPs, catering and equipment. Records and transcribes accurate and timely minutes of meetings.
- Coordinates office equipment and supplies, including multi-function copiers
- Organizes and maintains effective electronic and paper filing systems for ED, AED, Board of Directors and central files, archiving as needed. Maintains Board manuals, templates, lists, documents as needed
- Work with senior management to implement a fund raising strategy
- Maintain donor and grant data bases
- Ensure community and funder relationships are developed, enhanced and nurtured
- Support the management team in implementing communications infrastructure such as the organization website and social media
- Utilizes Outlook and other time saving technology tools to enhance efficiency
- Recruits, assesses and supervises volunteers.

**Qualifications**:

- Post-Secondary Degree or Diploma in a related field
- Experience in raising funds for non-profit organizations from government and non-government sources.
- Demonstrated abilities in strategic planning and problem solving
- Demonstrated abilities to work as a team player
- Demonstrated, well developed influencing, negotiating and sales skills
- Experience supervising volunteers
- Able to work evenings
- Demonstrated ability and interest in working with and for diverse populations
- Ability to meet deadlines
- Strong writing, presentation and networking skills
- An understanding of budgets and financial reporting
- Fully literate in Word, Excel, and one or more fundraising data base programs
- Web-development and social media skills an asset
- Outgoing, inclusive and welcoming in nature
- Resourceful, motivated and energetic

**Salary**: $44,400.00-$48,502.00 per year
