**Job Summary**
Reporting to the Executive Director, and working closely with the CIC team, the **Tournament & Event Specialist **is an essential component of CIC’s ongoing success, responsible for ensuring smooth operations of its tournaments, camps and special events, and ensuring that individual and institutional clients are well served by CIC.
Coordinating everything from tech issues to questions about instruction to billing inquiries, the **Tournament & Event Specialist **is organized, self-directed, and capable of authoritatively running camps and events while coordinating other instructors and part-time staff in their execution.
Incumbents in this role may be designated as “Directors” in tournament organization with organizations such as FIDE, the Canadian Chess Federation, and other bodies, and these titles may be used publicly and in communications for such events.
**Scope**
This role is responsible for the coordination, planning and execution of events, camps (single and multi-day) and tournaments. The hours per week allocation is for planning and ensuring events will be appropriately staffed and well managed. Paid hours for on-site event work are captured in our instructor pay schedule as additional duties for CIC instructors.
**KEY RESPONSIBILITIES**:
- Tournament and camp planning and execution: planning, organizing and supervising PA Day and other tournaments and camps for CIC, including location booking, on-site logistics (equipment, food and supervision), and supervising instructors and staff for the successful delivery of tournaments
- Financial and logistics coordination: providing tournament/camp proposals including venue proposals to the CIC senior leadership team for approval, with an evaluation of profitability, community impact, and capacity required.
- Provide information on events for marketing, communications and promotion on the website and elsewhere.
- Tournament, event and camp administration: ensuring camps are run according to AODA, labour, and health and safety standards and including location rentals, attendee waivers, and any required expenses - payment, invoice gathering and tracking, and remittance for payment or reimbursement as warranted.
- Instructor scheduling coordination: work with instructors to ensure tournaments and camps are appropriately staffed for success
- Certificate and achievement coordination: ensure events have sufficient certificates and other tools to award and celebrate attendee success
- Equipment management: ensure tournament locations have sufficient equipment and software (tournament software, physical boards, pieces, etc.) to ensure successful tournaments, including coordination and transport of our “big board” chessboard to events as needed
- Maintain current knowledge of required policies and standards for employment, health and safety, human rights, labour standards, and AODA requirements
- Other duties as required by the organization.
**REQUIRED QUALIFICATIONS**:
- Knowledge of chess at the tournament level, including FIDE and other rankings systems, tournament software and proper protocols for uploading and sharing tournament results with ranking bodies.
- CCF and FIDE authorization to direct tournaments is an asset but not a requirement. If the incumbent is not an authorized tournament director at hiring, pursuit of these credentials will be strongly encouraged in the role.
- Several years (minimum 2) of experience performing event coordination duties including location and food management, creating and coordinating attendee lists, and recruitment, training and coordination of on-site staff and volunteers.
- Previous experience working with a web CMS and online booking/scheduling software
- Knowledge of the Employment Standards Act, Human Rights Code, Occupational Health and Safety Act, and other applicable employment legislation.
- Previous work in a non-profit environment is preferred.
