We are currently seeking an experienced Office & Construction Administrator to join our team of designers and construction professionals at our studio in Toronto's King Street Design District on a dynamic 3-month contract.

**This role entails**:

- Working with designers and construction managers to prepare RFPs, work orders, purchase orders, invoices, etc.
- Preparing invoices to clients
- Responsible for answering phone calls from new and existing clients, and to schedule meetings and appointments for principals and designers
- Greet clients and other visitors to the office
- Sort and deliver mail and sign for couriers. Arrange for couriers as required.
- Arrange/schedule material deliveries to different projects
- Schedule trades for projects and services
- Receive, QC and log incoming orders as well as prepare paperwork for outgoing orders
- Data entry, creation of logs
- Prepare monthly lead generation and sales reports
- Maintain office and manage/order office supplies and stationeries
- Work with other duties assigned

**Qualifications**:

- 2-3 years of experience as an Office Administrator, Coordinator or Executive assistant
- Customer Service oriented
- Effective and confident communicator
- Ability to use online tools and technology
- Detail oriented and accurate
- Ability to work in a fast paced and demanding setting
- Exceptional organizational skills
- Ability to manage and meet multiple deadlines

**Technical Qualifications**:

- Proficiency in Microsoft Word, Microsoft Excel, Microsoft Outlook or Windows Live Mail, Google Docs, Google Calendar
- Proficiency in Buildertrend or other online project management software is an asset

Pay: $40,000.00-$45,000.00 per year

Schedule:

- Monday to Friday
