Office Administrator/Warranty Coordinator

Patten Homes is the home building division of Thomas Cavanagh Construction.

For more than 25 years, Patten Homes has been exceeding the hopes and dreams of our clients by blending style and functionality in the quality homes we build.

Patten Homes is looking to increase their construction volume and will be opening, and building, several new communities over the next few years.

As we grow, we will continue to focus on the quality of product as well and providing a wonderful client experience.

We are currently building a Team of experienced individuals to help make Patten Homes the Builder of Choice in Ottawa and surrounding areas.

The Office Administrator/Warranty Coordinator plays a pivotal role in ensuring the smooth operation of our office environment and the effective management of our warranty processes.

This position is responsible for offering administrative support across the organization, managing office supplies, coordinating warranty services, and acting as the first point of contact for our clients and visitors.


Primary Duties and Responsibilities:

Reception:
Greet and welcome guests as soon as they arrive at the office.
Direct visitors to the appropriate person and office.
Answer, screen, and forward incoming phone calls.
Ensure reception area is tidy and presentable.

Office Administration:
Order office supplies and keep inventory of stock.
Maintain the office condition and arrange necessary repairs.
Organize the office layout and order stationery and equipment.
Provide general support to visitors.

Warranty Coordination:
Oversee the administration of warranty claims and coordinate with clients, trades, and service technicians.
Manage warranty documentation and update the Master Deficiency List regularly.
Schedule and confirm service appointments, ensuring timely completion of warranty work.
Communicate effectively with homeowners regarding the status of warranty items and any necessary follow-up actions.

Requirements:
Proven experience as an Office Administrator, Office Assistant, or relevant role.
Familiarity with office management procedures and basic accounting principles.
Excellent time management skills and ability to multi-task and prioritize work.
Strong organizational and planning skills in a fast-paced environment.
Excellent written and verbal communication skills.
Proficiency in MS Office.
