We currently have a career opportunity for a Full-time, permanent Office Manager to lead our Administration team, located in Barrie, Ontario. The Office Manager role is primarily responsible for managing a team of administrative professionals, focusing on training and coaching employees, communicating job expectations, and appraising performance. This role is responsible for managing, monitoring, support, and maintenance activities relating to the administrative operations.

**Job Functions**:

- Manages and coordinates the activities of the administrative staff including recruiting, training, coaching employees, delegating tasks and communicating job expectations.
- Produces policies, procedures, and work instructions necessary for efficient administrative operations.
- Documents and conducts regular staff performance evaluations.
- Identifies areas of improvement and drives initiatives to address failures in systems and/or processes.
- Ensures the team is performing in compliance with ISO standards, policies, and procedures.
- Encourages continuous improvement practices among employees.
- Provides necessary information to the other members of the leadership team used to evaluate operational performance and assess budgetary needs.
- Monitors Key Performance Indicators (KPI’s), focusing on Operational Excellence to improve the reliability, availability and quality of the Administrative Services provided to our customers.
- Evaluates and makes recommendations on workforce needs.
- Participates in Leadership meetings, working to identify, propose and implement improvements in systems, reports and processes in the Admin Department and across the organization.
- Reviews invoicing for accuracy, timeliness, and process compliance.
- Reviews payables for accuracy, reconciliation of revenue and expense with referenced sales order, and purpose and approval of purchase.
- Performs analysis of AR reports for guidance, direction and escalating any concerns.
- Analyzes and reviews monthly spreadsheets and compiles summary report for executive review.
- Inputs, tracks, and updates ISO processes and documentation.
- Responsible for inputting, tracking and follow-up of sales incentive programs.
- Maintains compliance software.
- Provides admin support for Maintenance Agreements (MA) and Service Level Agreements (SLA).
- Provides administrative support in the preparation and editing of Site Leases.
- Maintains, records, and performs spreadsheet tracking for OPP Security Clearances and corresponds with OPP where required.
- Manages the company social media platforms.
- Special events planning and coordination.

**Experience Requirements**:

- A minimum of 2-3 years in a managerial role.
- Degree or Diploma in Business or Office Administration, or a related field is an asset.

**Additional Requirements**:

- Ability to prioritize, multitask, work within time constraints and follow-up.

- Must live within 1 hour of Barrie, ON or be willing to relocate prior to commencing job.
