**What you’ll do**
- Manage the Team mailbox: document, track and distribute or fulfill in-bound correspondence, weekly/monthly/quarterly reports, compliance orders, invoices, etc.
- Ensure timely payment of all invoices: code and submit invoices for approval
- Maintain and update Elevator/Escalator (“E2M”) Asset Registers:

- Ensure E2M operating licenses are current and ensure timely renewals, ensure current operating licenses are on file and on display at the stores
- Track/update E2M maintenance contract expiries and flag/escalate issues
- Track and escalate E2M AHJ compliance orders to third-party vendor and ensure all are completed by specified deadlines
- Track and escalate E2M Vendor or Landlord requests to schedule annual inspections and track/record completion of same
- Maintain Fire Life Safety (“FLS”) files and trackers, and work with third-party vendors to:

- Ensure annual reviews for existing Fire Safety Plans (“FSPlan”) are completed and current FSPlans are on file and sent to stores
- Ensure requests for New FSPlans (for new stores) are fulfilled and sent to stores/kept on file
- Track and distribute all FLS AHJ compliance reports and ensure third-party vendor completes all deficiencies on/before deadlines
- Ensure all FLS queries are addressed
- Issue purchase orders/change orders for capital expense approval; prepare and circulate regular capital budget tracking reports
- Receive and distribute tenant lease updates (eg: lease renewals, change of lease responsibilities, notices for New Stores, changes to landlord contact info, etc.)
- Maintain digital files, ensuring all are current and updated as appropriate
- Build effective working relationships within and between departments
- Provide general support to the Facilities Manager and Facilities Specialists and perform other duties as may be assigned from time to time

**What you bring**
- Minimum three years experience in an admin support or coordinator role
- Strong customer service skills, with demonstrated ability to follow-up and resolve issues on a timely basis
- Strong communication skills, both written and verbal
- Demonstrated ability to multi-task and reprioritize in a fast-paced work environment
- Working knowledge of facilities management, experience in real estate or retail facilities is viewed as a strong asset
- Excellent work ethic with a history of dependability, high integrity and professionalism
- Flexibility and the ability to adapt quickly to changing priorities; ability and confidence to work with mínimal supervision
