Administrative Assistant

We are seeking a skilled and compassionate full-time Administrative Assistant.
The successful applicant will excel in a fast-paced environment and can multi-task while ensuring that all tenants and visitors receive professional and courteous assistance. We are looking to hire an individual who will see value in being part of a cohesive team and has the ability to engage with a wide demographic from all walks of life.
Responsibilities:
- Accounts payable and accounts receivable
- Receive, record, and deposit rent
- Prepare bank deposits to be taken to the bank
- Prepare work order requests for maintenance and contact contractors as needed
- Answer phone inquiries from tenants and the public
- Greet and welcome tenants and visitors in a professional and friendly manner
- Handle the day-to-day office operations, including filing, organizing, ordering office supplies, and troubleshooting technical issues that may arise
- Assist the Executive Director in preparing leases and conducting rent reviews
- Prepare packages for Board meetings; attend meetings to record and transcribe minutes
- Assist the Executive Director with preparing for the annual audit
- Other duties as assigned to ensure the smooth operation of the office and buildings
- Diploma in office or business administration
- Experience working with Sage50
- Excellent computer skills including experience with Microsoft Office
- Knowledge of rent-geared-to-income calculations and familiarity with the Housing Services Act 2011 would be considered assets
- Confidentiality is of the utmost importance. The successful candidate will practice discretion and protect tenant and organizational information at all times.
- This position requires local travel on a regular basis, so access to a reliable vehicle is required.
