Position: Accounts Payable Specialist
Location: North Bay, ON

GreenFirst is looking for an accounts payable specialist who has great attention to detail and excellent interpersonal skills to analyze, prepare and maintain all functions related to the company payments of internal and external vendors.

Responsibilities
  • Ability to pull data from data base / Enterprise Resource Planning System and work the data in excel for reports and Key Performance Indicators. 
  • Review reports to create payment in accordance with departmental guidelines. 
  • Validate that payments are being made within the company guidelines. 
  • Deliver dependable customer service to both the vendors as well as GreenFirst employees. 
  • Provide additional support to our internal clients as requested. 
  • Review, analyze, and resolve aging invoice, vendor, and payment issues. 
  • Support analysis of wood procurement costs and financial results.
  • Highlight opportunities and support continuous improvement to ensure results at the highest efficiency levels, in the most cost-conscious manner, and in support of company initiatives. 
  • Assist in audits and reviews. 
  • Identify and escalate issues timely to ensure critical vendor accounts are maintain within requirements. 
  • Process same day urgent payment requests. 
  • Monitor the various Accounts Payable email boxes. 
  • Reconcile various vendor accounts; research and resolve routine internal and external inquiries concerning invoices or account status, including communicating the resolution of discrepancies to appropriate persons 
  • Adhere to accounts payable, accounting policies, internal controls procedures and best practices. 
  • Ensure payables does not age over 90 days. 
  • Serve as key contact between vendor and internal production teams, ensuring prompt resolution of payable discrepancies, disputes, and unreconciled items. 
  • Create SOP and update as necessary. 
  • Accurately review and submit vendor maintenance requests. 
  • Support an accurate and timely monthly, quarterly and year end close. 

Requirements
  • High School diploma or equivalent. (business diploma or degree and asset) 
  • Minimum of one (1) year of experience in accounts payable required. 
  • Required advanced level skills with Microsoft Excel, intermediary level Word/Outlook, and basic office equipment. 
  • Working knowledge of general accounting principles, accounting practices and theories 
  • Effective written and verbal communication skills (in English) and demonstrated ability to resolve all situations in a professional manner, French is a plus but not mandatory. 
  • Professional appearance and demeanor.
  • Ability to work independently, prioritize based on urgency and work through high volume and stressful time periods.
  • Extreme attention to detail; team player demonstrated by a willingness to work with the team to achieve common goals. 
  • You must be eligible to work in Canada and move to North Bay.

Responsabilités: 
  • Capacité d’extraire des données de la base de données ou du système de planification des ressources de l’organisation et de traiter les données dans Excel pour les rapports et les indicateurs de rendement clés. 
  • Examiner les rapports pour créer un paiement conformément aux directives du service. 
  • Valider que les paiements sont effectués conformément aux directives de l’entreprise. 
  • Offrir un service client fiable aux fournisseurs ainsi qu’aux employés de GreenFirst. 
  • Fournir un soutien supplémentaire à nos clients internes, à la demande. 
  • Examiner, analyser et résoudre les problèmes de facturation vieillissante, de fournisseur et de paiement. 
  • Soutenir l’analyse des coûts d’approvisionnement en bois et des résultats financiers. 
  • Mettre en évidence les opportunités et soutenir l’amélioration continue pour garantir des résultats aux niveaux d’efficacité les plus élevés, de la manière la plus soucieuse des coûts et à l’appui des initiatives de l’entreprise. 
  • Assister aux audits et revues • Identifier et escalader les problèmes en temps opportun pour s’assurer que les comptes fournisseurs critiques sont maintenus dans les limites des exigences. 
  • Traiter les demandes de paiement urgentes le jour même. 
  • Surveiller les différentes boîtes de courriel des comptes fournisseurs. 
  • Réconcilier les différents comptes fournisseurs ; rechercher et résoudre les demandes internes et externes de routine concernant les factures ou l’état des comptes, y compris la communication de la résolution des écarts aux personnes appropriées 
  • Adhérer aux comptes créditeurs, aux politiques comptables, aux procédures de contrôle interne et aux meilleures pratiques. 
  • Assurez-vous que les comptes créditeurs ne vieillissent pas au-delà de 90 jours 
  • Servir de contact clé entre les fournisseurs et les équipes de production internes, en assurant une résolution rapide des écarts de paiement, des litiges et des éléments non rapprochés. 
  • Créer une SOP et la mettre à jour si nécessaire.
  • Examiner et soumettre avec précision les demandes de maintenance des fournisseurs 
  • Soutenir une clôture mensuelle, trimestrielle et annuelle précise et opportune. 

Exigences: 
  • Diplôme d’études secondaires ou l’équivalent (diplôme d’études commerciales ou grade et atout) 
  • Au moins un (1) an d’expérience des comptes créditeurs.
  • Compétences avancées requises avec Microsoft Excel, Word/Outlook de niveau intermédiaire et équipement de bureau de base 
  • Connaissance pratique des principes, pratiques et théories comptables généraux 
  • Aptitudes efficaces en communication écrite et verbale (en anglais) et capacité à résoudre toutes les situations de façon professionnelle; le français est un atout, mais il n’est pas obligatoire. 
  • Apparence et comportement professionnels 
  • Capacité à travailler de façon autonome, à établir des priorités en fonction de l’urgence et à composer avec des périodes de volume élevé et de stress 
  • Grande attention aux détails; esprit d’équipe démontré par une volonté de travailler avec l’équipe pour atteindre des objectifs communs. 
  • Vous devez être admissible à travailler au Canada et à déménager à North Bay.
