Workplace: Remote, and twice or thrice a week presence required at different clinics in Quebec.

Work schedule: Permanent full-time position. 40 hours/week, Monday to Friday, with occasional Saturday shifts for conversions and other necessary activities.

The Regional Administrative Leader provides integral support services to the administrative teams of Lifemark's clinical activities. He/she is responsible for implementing programs and processes, ensuring the communication of information and coordinating administrative support services within a given group of clinics.

The RAL participates in the recruitment process of administrative staff for clinical activities, as well as in the training and integration of new recruits or new initiatives. He/she works closely with the regional clinical activities management team and provides support to regional directors and clinic managers, helping them to monitor indicators for administrative roles.

MAIN RESPONSIBILITIES:

  • Support provincial managers and regional directors in operational initiatives and act as liaison between clinics and head office
  • Implement, evaluate, improve and standardize administrative processes
  • Monitor key administrative deliverables, such as organizational reporting; and implement initiatives to help clinics achieve their targets
  • Provide training and development opportunities for administrative staff
  • Support the Director or Senior GO/RSC in administrative staffing activities, from recruitment to placement (in particular screening CVs, recommending candidates for interview and attending interviews where appropriate).
  • Follow up on administrative actions within the clinic, including those related to ongoing projects, collections, patient intake and follow up with clinic administrative staff once issues are identified.
  • Communicate administrative and customer service changes to regional administrative staff
  • Provide administrative coverage as needed to ensure business continuity, including the use of float positions
  • Assist CD with administrative staff performance appraisals, and identify and communicate administrative staff performance issues.
  • Participate in regional meetings as required
  • Perform other administrative duties as requested by Administrative Manager
  • Provide administrative staff with orientation and training materials and programs, as required.
  • Staff development and utilization: identify and develop experienced administrative staff for promotion (e.g., to CCM, RAL, SS)
  • Lead LPS conversions as required
  • Coordinate transition tasks for new acquisitions (with transition team)
  • Act as a resource for clinical teams and support administrative activities as required
  • Organize regular meetings for administrative staff


ESSENTIAL SKILLS AND ACHIEVEMENTS

  • Bilingualism - English and French
  • Experience in care management and coordination/senior administrator
  • Ability to demonstrate leadership within the clinic/region/company
  • Experience in staff training and development
  • Strong presentation skills: ability to make presentations to senior management, peers or subordinates
  • Basic to intermediate Excel and math skills
  • Customer service knowledge and excellent interpersonal skills
  • Strong, professional oral and written communication skills
  • Attention to detail
    • Ability to work in a team and show initiative, solve problems and make decisions independently.
  • Ability to adapt to change, manage multiple competing priorities and respond to stakeholder needs in a timely manner.
