As a Regional Trust Administrator, you will assist Estate & Trust Consultants (ETCs) by providing essential support to enhance new business initiatives and advisor engagement across various regions, while ensuring exceptional client service, quality assurance, and operational effectiveness. Your role will involve a range of responsibilities, primarily focused on specific ETCs, but you may also collaborate with multiple ETCs across different regions as needed.

Key Responsibilities:

  • Aid ETCs in prospecting and managing their sales pipeline. This involves accurately capturing and tracking new opportunities in Salesforce, generating reports, and coordinating with planning teams and Total Wealth Managers (TWMs) to provide necessary data for estate and trust planning.
  • Support the ETC sales process by preparing files (both paper and digital) for client discovery meetings, which may include gathering completed Estate Planning Questionnaires, existing planning documents, and summaries of financial holdings. You will also prepare new business documentation, including fee agreements and account opening forms, and assist with correspondence to law firms, following up with lawyers and clients as needed.
  • Provide quality assurance to ensure that new business submissions are complete and accurate. This includes verifying that all necessary documentation (such as original Wills and Powers of Attorney) is submitted in a timely manner.
  • Facilitate business development and educational opportunities for advisors. This includes scheduling client appointments, confirming logistics for road trips and meetings, and assisting ETCs in preparing for seminars and webinars by managing registrations and liaising with presenters.
  • Offer administrative support to ETCs as required. This may involve helping ETCs transition to digital operations, managing mail and courier services, ensuring necessary supplies are available, and triaging communications that come to the ETC. You will also assist with meeting coordination and travel arrangements when feasible.
  • Promote a customer-centric culture to strengthen client relationships and leverage broader organizational resources.
  • Understand and apply the Bank's risk appetite and culture in daily activities and decision-making.
  • Strive for operational efficiency in alignment with Scotiabank's Values, Code of Conduct, and Global Sales Principles, ensuring compliance with operational, AML/ATF/sanctions, and conduct risk obligations.
  • Foster a high-performance environment and contribute to an inclusive workplace culture.

Role Dimensions:

  • Directly support a select number of ETCs (1-4) within a region, collaborating with advisors from various business lines and engaging with numerous specialists integrating estate and trust solutions.
  • Be part of a team that supports approximately 42 ETCs alongside other Scotia Wealth Management professionals, including over 70 specialists and more than 800 relationship managers across various business lines.

Qualifications:

  • Strong analytical, organizational, communication, and interpersonal skills.
  • Proficiency in Outlook, MS Word, Teams, Excel, PowerPoint, and Salesforce.
  • A university degree or equivalent experience.
  • Familiarity with the Estate & Trust and/or wealth management sectors.
  • Industry accreditation (such as a Certificate in Estate and Trust Administration) is a plus.
  • Knowledge of legal documents, including Wills, Trust Deeds, and Powers of Attorney, is advantageous.
  • Bilingualism (English-French) is beneficial.
  • High attention to detail and strong follow-through capabilities.
  • Ability to manage multiple priorities under pressure.
  • Excellent teamwork skills with the ability to work independently.
  • Demonstrated initiative, proactivity, and a sense of responsibility.
  • Commitment to service excellence for both internal and external clients.
  • Capability to effectively manage change.
