Office Assistant

Langley, Canada Talent Harbour Full time

We are seeking an Office Assistant to join our client's team working out of their Langley office to be the ambassador of creating the ultimate office Experience. You will report to the Director of People & Culture and join their Operations team that supports creating a welcoming environment for their guests, clients and our team members. The ideal candidate must be okay with working full-time daily from the Langley office Monday to Friday.


Responsibilities

  • First point of contact; greeting, welcoming and directing all guest appropriately
  • Answering the switchboard, screening and forwarding incoming phone calls
  • Receiving and sorting daily mail/deliveries/couriers and office deposits
  • Champion of office rhythms, health and safety support, yearly maintenance requests
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Ordering and maintaining office supply inventory and tracking budgets
  • Reconciliation of credit cards via concur to ensure on budget in collaboration with Finance teams
  • Track and monitor components of the Operations budget in collaboration with team
  • Champion happy hour and connection opportunities weekly for organization
  • Update calendars and schedule meetings for various departments
  • Arrange travel and accommodation, preparing itinerary if applicable
  • Collaborate with Executive Assistants when necessary to support executive team
  • Support Culture Committee and Social Committee with set-up and other tasks for client and corporate events
  • Collaborate with HR to assist with on-boarding and off-boarding duties
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing when necessary
  • Supporting People & Culture team with onboarding, team member inquiries and task management


Qualifications


  • 1-3 years of office experience mandatory
  • Working Monday to Friday is office (8:30am – 5pm)
  • Relevant education (Certificate/Diploma/Degree) from a recognized institute or working towards
  • Previous customer service experience and the ability to make a positive impact on those around you
  • Proficiency with Google Apps, MS Office applications (Office 365), Asana, Concur and various tech programs
  • Ability to produce results independently while maintaining a positive team environment
  • An amazing attention to detail with an ability to thrive in a fast-paced environment
  • Professional with excellent written and oral communication skills
  • A passion for people, always going above and beyond the ask to ensure those around you are supported and take care of to the best of your ability
  • Time-management skills working under pressure with multiple projects and timelines
