About the organization

Health Partners International of Canada (“HPIC” and the “Organization”) is a not-for-profit relief and development organization dedicated to improving access to medicine and improving health for vulnerable communities around the world. As the only charity licensed by Health Canada to handle donated medicines, HPIC contributes to health and well-being by providing donated essential medicines and supplies, responding to emergencies, and strengthening local health systems. We partner with a network of non-governmental organizations (NGOs) and medical mission teams, with pharmaceutical and healthcare product companies, and with foreign and Canadian government departments.
 

About the position

Reporting to the Director of Programs, the Program Coordinator, Access to Medicine is part of the Programs team. This role entails coordinating HPIC’s medicine donation initiatives and shipments, and striving for strong, collaborative partnerships that facilitate desired program outcomes. Responsibilities include establishing and maintaining relationships with NGO partners and medical mission teams interested in receiving medical donations for their overseas projects; helping develop annual forecasts of medicines and medical supply needs; planning shipments of medical aid and ensuring these go out in a timely manner; and representing HPIC at external meetings and events.

Success in this position requires keen attention to detail, collaborating with team members, and aligning interactions and decisions with HPIC’s mission and values. Crucially, you will be passionate about improving health in vulnerable communities.
 

Major Duties and Responsibilities

Program Coordination

  • Coordinates and oversees regular shipments of Humanitarian Medical Kits, Bulk medicine and medical supplies, ensuring compliance with standard medical donation procedures and criteria of the access to medicine program.
  • Prepares, inputs, reserves and processes shipments in HPIC’s inventory tracking system (D365).
  • Regularly monitors inventory levels of the Access to Medicine Program.
  • Works with the Operations team to ensure that all shipments are completed in a timely manner.
  • Works with the Programs team to develop annual forecast of medicine needs for all projects.
  • Works with the Corporate Partnerships team to review inventory and make recommendations on product utilization and further need for medical donations.
  • Participate in HPIC’s emergency response efforts, when required.
  • Collects reports from partners and prepares donor reports and summaries, as required.
  • Review and approve monthly shipping logs.

Partnership Management

  • Establishes and maintains relationships with other organizations and healthcare practitioners and gains understanding of their projects and needs for donated medicines and medical supplies, being available for calls throughout the day.
  • Exercises due diligence in partnership management, including vetting, agreement development, needs assessment, monitoring, evaluation, and accountability.
  • Shares medicine offers with partners and, in collaboration with other program coordinators, determines acceptance and allocation based on needs.
  • Assists in developing projects and initiatives that focus on improving access to medicine.
  • Ensures adequate monitoring and reporting on initiatives and projects.

General

  • Contributes to development of fact sheets, presentations, and other communication materials.
  • Actively contributes to workshops and discussion groups pertinent to humanitarian assistance and medical donations, as instructed by Program Director.
  • Represents HPIC at external meetings and events.
  • Travels occasionally to meet with partners and other external stakeholders.
  • Undertakes projects and other duties as assigned by Programs Director.
  • Collaborates effectively with team members across departments.
  • Contributes to results by identifying inefficiencies and recommending changes.
  • Handles expected workload at required quality level (productivity).
  • Complies with policies and standards, as amended from time to time.

Qualifications

  • Professional / vocational / technical qualification in a relevant field.
  • At least two (2) years of experience in program development, supply chain processes and logistics in an NGO setting.
  • Strong analytical thinking and problem-solving skills.
  • Strong MS Office and D365 skills.
  • Excellent organizational skills with ability to prioritize and meet deadlines.
  • Excellent written and verbal communication skills in English, with French skills preferred.
  • Strong interpersonal skills and ability to work effectively with others.
  • Solid understanding of monitoring and evaluation methodologies.
  • Ability to switch tasks, respond to shifting priorities, and refocus after interruptions.
