About Us:

We are a busy dental clinic, committed to providing excellent dental care to our patients in a paediatric clinic. We believe in using the latest technology and techniques to ensure the best possible treatment outcomes for our patients.

The Role:

We are seeking a FT Dental Administrator to join our team. The hours are Monday to Friday 8am-5pm. The candidate must have 3 years experience as a Dental Administrator.

Responsibilities:

  • As one of the first points of contact for patients at the clinic, you will be a key team member ensuring patients are warmly greeted and promptly assisted:
    • Verify and update patient information for each scheduled appointment.
    • Mark patients as arrived for their appointment.
    • Communicate with patients while they wait, including letting them know if the schedule is running late.
  • Ensure the reception area is well presented, welcoming, and organized.
  • Accurately input all patient information into dental software, gathering relevant details and appropriately completing all required record keeping.
  • Manage incoming calls and direct appropriately.
  • Return messages in a timely manner.
  • Optimize the patient appointment schedule efficiency.
  • Manage the patient re-care system.
  • Place patient follow-up calls after treatment as required.
  • Handle patient calls and inquiries about appointments, confirmations, changes, and cancellations.
  • Process patient referrals and other patient-related correspondence.
  • Maintain professional and respectful relationships with patients, colleagues, and other dental and medical professionals.
  • Handle patient records and email correspondence in compliance with privacy and security requirements.
  • Interact with insurance companies, including sending and receiving pre-determinations.
  • Respect office policies surrounding payment plans and collecting payments.
  • Assist the Treatment Coordinator and Office Manager with additional duties, such as:
    • Communicating with patients about the cost of large treatment plans prior to their appointments.
    • Tracking various data points and creating reports as required.
    • Assisting with accounts receivables.
    • Print and balance end of day, including checking that end of day dental software reports match POS reports.
    • Complete bank deposits at the end of day as required.
  • Collect and receive payments from patients and insurance companies and accurately record in the ledger.
  • Understand and adhere to legislated health and safety requirements.
  • Attend team meetings and contribute as required.
  • Receive and dispatch lab cases appropriately.

Qualifications: 3 Years experience as a Dental Administrator.
