Executive Assistant to the President / Senior Management Team

We're seeking an experienced Executive Assistant to support the President and Senior Management Team in our Toronto office.

This role requires exceptional organizational skills, attention to detail, and the ability to prioritize tasks, manage confidential information, and communicate effectively.

The ideal candidate will be initiative-taking, resourceful, and able to anticipate the needs of our President, with a pleasant and enthusiastic demeanor and a common sense approach to problem solving.

Responsibilities:
  • Respond to projects, activities, and inquiries as delegated by the President, performing a variety of highly responsible administrative duties requiring independent judgment and a high level of confidentiality.
  • Screen requests and identify issues to determine priorities.
  • Compose, prepare, and proofread correspondence, minutes, and presentations.
  • Conduct research and provide detailed analysis on diverse topics as requested.
  • Manage the President's calendar effectively, prioritize appointments, and handle scheduling conflicts with diplomacy.
  • Coordinate travel, accommodations, and itineraries for the President.
  • Plan and organize special corporate events.
  • Other responsibilities and assignments as delegated.
Qualifications:
  • Minimum 15 years of experience in a similar executive support role.
  • Bachelor's degree or college diploma in business administration, communications, or a related field.
  • Advanced verbal and written communication skills and superior interpersonal skills to interact with different stakeholders with tact, diplomacy, and discretion.
  • Ability to effectively manage and prioritize multiple, simultaneous, and complex assignments.
  • Extensive technical skills in word processing with advanced knowledge of MS Office and PowerPoint.
  • Strong organizational, time management, and critical thinking skills with impeccable multi-tasking abilities. Ability to anticipate needs.
  • Professional and polished demeanor with strong attention to detail.
