Department Overview:

TD Legal is dedicated to providing industry-leading advice and counsel to all TD business segments and corporate functions. The Legal Business Operations Analyst will manage key processes that are critical to the operations of the Canadian Disputes & Investigations (Disputes) and Privacy, Data, Cyber and Financial Crimes (PDCF) teams within TD Legal.

Job Description/Accountabilities:

This is a senior analyst role, with principal accountability in the areas of strategy and planning, business performance, business operations support, change management, business process management, and special project governance and oversight. Accountabilities include:

  • Data & Matter Management – Develop and maintain in-depth knowledge and expertise on the functionality of TD Legal's data and information management systems. Oversee data inputting in the applicable systems, including ensuring team awareness of requirements and delivery of any applicable training. Lead the investigation of root causes for data issues and ensure data issues are resolved. Implement quality control processes aligned to information and matter management standards and ensure all requirements are adhered to.
  • Data Analytics – Use technology and data resources to provide insight to senior executives in TD Legal to aid in decision-making and strategic planning. Conduct meaningful analysis using results to draw conclusions, make recommendations, and assess the effectiveness of programs, policies, or practices.
  • Workflow Management – Oversee and monitor the workload and workflow of all support staff, being mindful of coverage and cross-training amongst team members to ensure continuous coverage of all functions. Monitor shared inboxes and triage requests to the appropriate colleagues.
  • Process Improvement – Examine existing processes and capture opportunities to make things simpler and more automated. Support development and implementation of policies, procedures, and solutions that mitigate risk and enable the achievement of business priorities. Ability to develop change management strategies to train, encourage, and support staff to evolve our ways of working.
  • Collaboration & Communication – Work closely with various other departments and support partners, aligning legal operations with broader organizational objectives. Effectively communicate with various stakeholders, translating complex legal and operational concepts into understandable terms.
  • Technology – Assist other support partners in identifying and leveraging technology to develop or enhance data management, including billing, workflow and document automation, self-service, knowledge management, matter management, etc.
  • Continual Learning & Industry Awareness – Maintain current knowledge of industry trends, best practices, and emerging innovations in legal operations.
  • Vendor Management Support – Assist our Knowledge Management & Strategic Enablement (KMSE) group in resolving billing issues with external firms and other legal service providers. Identify and resolve issues with the technology interface between the billing and other data management systems.
  • Reporting – Prepare weekly, monthly, and annual reporting on relevant metrics, operational, and file progress. Assist with risk calculations and applicable stress testing. Prepare responses to external and internal reporting-related inquiries, as required. Manage regular attestations by members of the Disputes and PDCF groups. Assist with regular file and matter progress reporting to members of the senior executive team.
  • Project Management – Manage or contribute to legal projects and other initiatives.
  • Other Duties – Perform other duties as assigned to support the legal team and business objectives.

Qualifications/Skills/Experience:

  • Undergraduate degree or Technical Certificate.
  • 5+ years of relevant experience in business administration, legal support, project management or a related field, preferably within a legal department or law firm.
  • Strong technology aptitude including (i) proficiency with office software and ability to learn and apply new technologies in work environment and (ii) capacity to understand current and emerging technologies in the industry and how they affect business objectives.
  • Advanced analytical and problem-solving skills, including the ability to identify problems and barriers, and effectively implement solutions to further business strategy.
  • Advanced ability to operate with creativity and innovation and a desire to seek different perspectives and new ideas.
  • Demonstrated excellence in judgment, leadership, and relationship management skills.
  • Solid collaboration and teambuilding skills.
  • Flexibility to quickly adapt to changing and ambiguous initiatives or requirements.
  • Ability to multi-task and operate on a day-to-day basis with limited supervision is critical.
  • Advanced ability to communicate complicated issues in a clear, succinct, and effective manner to other professionals, both verbally and in writing.
  • Bilingualism would be considered an asset, but not necessary.
  • Project management experience or training would be considered an asset, but not necessary.
