Key Responsibilities of the Operations Analyst:

  • Facilitate the setup and operation of MT> Align, which includes: Engaging with various IT systems to onboard new contractors; Collaborating with internal and external partners (IT, Time Entry, Contractor Management, Document Management, etc.) to ensure solutions align with MT> Align's requirements; Overseeing Time Entry and Contractor Management systems; Monitoring program progress through Client Connect (SalesForce).
  • Manage the intake process for new contractors for MT> Align: Organizing discussions with new contractors; Handling acceptance/rejection protocols; Conducting approval and reference checks as necessary; Updating and enhancing the database with new contractor information; Onboarding new contractors (creating agreements, email accounts, system access, training, time entry, invoicing, etc.).
  • Coordinate the establishment of new engagements: Updating relevant databases; Drafting and storing agreements (MEF, CAA, etc.).
  • Analyze key metrics for MT> Align: Extracting profile data from cloud-based platforms for client proposals; Maintaining trackers and fact tables for incoming and current contractors; Developing dashboards, models, and forecasts to project financial and operational outcomes.
  • Report on key performance indicators: Exporting, cleaning, and modeling raw data from various platforms, departments, and sources; Creating interactive dashboards, models, and reports based on historical, current, and projected data; Presenting insights in team meetings and as required.
  • Assist in the implementation of new technologies to enhance operational efficiency.
  • Maintain regular communication and troubleshoot issues with MT> Align community members.
  • Oversee and manage quality control processes, including Net Promoter Score surveys.
  • Provide support to other MT> Divisions and departments as needed: Collecting, cleaning, and analyzing billing data; Creating and maintaining dashboards, reports, and trackers; Extracting marketing-related data requests; Analyzing readership performance; Tracking and reporting on industry trends and performance metrics.

Ideal Candidate Profile:

  • Post-secondary education in Business, Finance, Project Management, or a related discipline.
  • A minimum of three to five years of experience supporting senior management.
  • Experience in project management/coordination, with at least three years in a PM-structured environment.
  • Proven experience in leading and supporting change management initiatives.
  • Experience in a professional or legal services setting is an asset.
  • Exceptional attention to detail.
  • Advanced skills in MS Excel and PowerBI.
  • Ability to interpret and create financial reports, including P&L statements.
  • Proficient in word processing, spelling, proofreading, and editing (MS Office suite).
  • Quick adaptability to new technology solutions (Salesforce, ClickTime, PowerBI, MS Visio, Skype for Business, MS Teams, Basecamp, SharePoint, DocuSign, Documate, Office 365, etc.).
  • Capacity to perform tasks with speed and accuracy.
  • Strong time management, organizational, and multitasking abilities, with the capability to work under pressure to meet deadlines.
  • High level of discretion and confidentiality.
  • An innovative mindset with a passion for improving business processes.
  • A self-motivated individual with a proactive, problem-solving approach.
  • Proficiency in learning and utilizing new technology.
