Our client , a production studio located in Etobicoke is seeking a highly organized, professional, and personable Reception and Administrative Coordinator to join their team. The ideal candidate will be responsible for greeting guests, managing front desk operations, providing general administrative support to all departments, and assisting Management and the Owner with various tasks as needed. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

Responsibilities (not limited to):

  • Greet and assist guests, manage front desk operations, and handle incoming calls.
  • Sort, distribute, and track mail, packages, and emails; manage office supplies.
  • Schedule meetings, arrange travel, and support administrative tasks as needed.
  • Maintain and update company databases (e.g., Google Drive, PO Tracking, Filmography, etc.).
  • Track and process purchase orders, receipts, and cheques; maintain financial records.
  • Organize company files, assets, marketing materials, and client swag.
  • Assist departments with administrative, technical, and logistical support.
  • Monitor and update social media accounts, research industry news, and distribute updates.
  • Attend company events and support Management with event-related tasks.

Role requirements:

  • Proven experience in a reception or administrative role.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with office software and digital platforms (Google Suite, Zoom, Microsoft Office, social media platforms, Airtable, etc.).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Professional demeanor and positive attitude when interacting with clients, tenants, and team members.
  • Ability to work independently and as part of a team, taking initiative where needed.
  • Strong attention to detail and a proactive approach to tasks.

Additional Information:

  • This role may require occasional work outside of regular business hours for company events or urgent administrative needs.
  • Candidates must be flexible and willing to take on various tasks as required.
