JOB DESCRIPTION

Location: Toronto or Montreal

Start Date: January 17, 2025

Length of term: March 31, 2025

Work schedule: 40 hours/week

Work mode: Hybrid work (3 days/week in office presence is required)


We are looking for a Knowledge Management Specialist. Ideally someone that has built a Knowledge Management practice from scratch.



Responsibilities

  • Support the stand-up of a Knowledge Management practice that captures, creates and effectively disseminates knowledge across the organization. Scope: Policies, directives, guidelines, processes, workflows.
  • Will work with internal process leads and relevant stakeholders to collect and analyze information to develop require documentation ensuring documentation is accurate, comprehensive and appropriate for the intended audience.
  • Gathering pertinent feedback from process leads to ensure documentation is accurate and comprehensive
  • Develop and manage a plan to ensure required documentation is developed on time with an expected level of quality. Plan, develop, write, and edit IT & Cyber documentation.
  • Apply principles of minimalism and leverage business language to ensure that documentation is well understood by readers whose technical knowledge may range from limited to highly proficient.
  • Develop documentation that is clear, consistent and concise.
  • Knowledge in various documentation tools and repositories such as Archer, SharePoint, ServiceNow.
  • Ability to leverage AI tools, such as Microsoft Copilot, to enhance efficiency in document development.
  • Ability to work independently and collaboratively in a fast-paced and dynamic environment.
  • Ability to handle multiple projects and deadlines with attention to detail and quality.
  • Ability to learn new technologies and tools quickly and adapt to changing requirements.
  • Coordinate across stakeholders to ensure holistic requirements are appropriately documented.
  • Actively identify and make recommendations for improvement in the documentation and review process.
  • Produce high-quality documentation that meets applicable standards and is appropriate for its intended audience.
  • Maintain a library of application documentation, cataloguing it for internal and/or external use.
  • Experience with policy management and GRC tools. (An asset)

Required skills

  • A bachelor’s degree in computer science, cybersecurity, technical writing, or a related field, or equivalent work experience. (An asset)
  • Strong knowledge and understanding of IT & cybersecurity concepts, protocols, industry best practices, strategies, frameworks and regulations such as SOX, PCI DSS, ISO, CoBIT, ITIL, NIST, PIPEDA, GDPR.(An asset)
  • Relevant experience defining business processes and controls around sensitive data and applications to ensure compliance with data protection regulations (e.g. PIPEDA, GDPR).
  • Relevant IT, cybersecurity and privacy industry certifications (e.g. CISSP, CISM, CIPP, CIPM, etc.) an asset.(An asset)
  • Superior communication skills (written and verbal), with a keen eye for detail and the ability to bridge the language between technology and business.
  • Proven ability to quickly learn and understand complex topics.
  • Previous experience writing various types of documentation for multiple audiences.
  • Self-motivated and capable of working with minimal supervision.
  • Results are oriented with a proactive and methodical approach to problem solving.
  • Able to multi-task and work under pressure against tight deadlines and changing priorities.
  • Exceptional organization skills.
  • The successful candidate must be proficient in English, as the role involves working with resources outside of Quebec.
