What is the opportunity?
Entuitive is seeking a highly motivated and entrepreneurial individual for the role of Proposal Team Manager, based in our Toronto office (hybrid).
Working with the Director of Business Development and Senior Business Development Manager, the Proposal Team Manager will be working in a creative and collaborative environment to deliver successful proposals to secure new business as well as support business development initiatives across the organization.
The Proposal Team Manager will provide leadership to a high performing proposal team and oversee the management of the proposal process including the planning, development, and production of winning proposals from start to finish.
What will you do?
- Provide overall leadership and coaching for a team of proposal specialists, coordinators, and administrators.
- Oversee daytoday team operations, team workload and integration with firm business development and proposal opportunities.
- Review incoming requests for level of effort required and assign to best fit on team.
- Work with team members to set clear expectations, goals and objectives for professional growth as well as for the achievement of operational results.
- Accountable and responsible for formalizing proposal best practices and implementation of proposal tools and technology to help support the delivery of quality submissions.
- Work with People & Culture to ensure appropriate staffing levels, recruitment, hiring and onboarding of new proposal team members.
- Oversight and management of bid mining best practices.
- Build relationships with external clients, internal and external marketing teams.
- Conduct internal and client debriefs to integrate any findings into the team's future submissions and best practices.
- Act as an escalation point for the proposal team and business developers.
- Oversee tracking of recurring standing offers and renewals.
- Provide QA/QC and mock evaluations to strategic proposals completed by team members.
- Monitor progress of the team's overall workload and proposal process with timely followup to ensure all internal and external proposal deadlines are met.
- Manage development and maintenance of proposal content library including various writing projects that include but are not limited to thought leadership content, proposal boilerplate and copy for marketing credentials packages.
- Manage the development, maintenance and coordination of content, tools, and templates for ongoing improvement of proposal management.
Requirements:
What you need to succeed?
- Experience leading, mentoring, and managing a team of proposal professionals.
- Preferably business diploma or degree specializing in business, commerce, or marketing and communications, followed by a minimum of 7 years' progressive, and related experience preferably in the Architectural/Engineering/Construction (AEC) industry.
- Minimum 35 years' experience managing a proposal team.
- 710 years' experience with proposals.
- Experience managing teams across offices (expertise in virtual team management an asset).
- Ability to work collaboratively, lead and motivate a team of professionals.
- Experience preparing strategic responses to RFP/RFIs, customized pitch books and presentations.
- Exceptional communication, writing, editing, and proofreading, and organization skills.
- Ability to effectively deliver quality work with a sense of urgency and a high degree of attention to detail.
- Able to work independently with mínimal supervision, as well as part of a team.
- Highly organized and able to prioritize own work schedule.
- Strong project management skills, with the ability to manage tight deadlines and competing priorities.
- Proficient in Microsoft Office, specifically Word, PowerPoint, and Adobe InDesign. Working knowledge of Adobe Creative Suite is an asset. Stellar client service skills along with the ability to communicate effectively (verbal and written) with individuals at all levels of the organization.
- Flexible and open to changing priorities and managing multiple tasks within compressed timelines.
- Work with cross functional teams and / or key stakeholders to implement best practices and processes.
- Evening and weekend work may be required to meet deadlines.
