We are looking for an experienced
Executive Assistant to provide support to our Personal and Commercial leadership team at our beautiful Brentwood Bay office

What you will do in the role:
  • Perform clerical and administrative duties to ensure the smooth and efficient operations of the department
  • Support the Personal and Commercial leadership team with daytoday activities, office needs, and scheduling
  • Schedule and coordinate meetings (internal and external), appointments, and office activities or events
  • Data entry and collection to compile reports and metrics to prepare data for internal meetings
  • Coordinate and track completion of mandatory licensing in the department
  • Support department payroll by completing approvals and reviews for accuracy
  • Coordinate and schedule performance reviews, onboarding, and trainings
  • Scheduling general and department meetings, preparing agenda's and taking minutes
  • Tracking and organizing company information, broker codes, representative contact information, and employee information
  • Coordinate the completion of internal and external newsletters
  • Project management and supporting on special projects as assigned
  • Other duties as assigned

You can offer SeaFirst:

  • Minimum of 5 years of experience in administration or office management, with at least 1 year of experience in an Execitive Assistant role
  • Experience working in insurance is an asset
  • Proficiency in Microsoft Office Suite of programs including Word, Excel, and Outlook
  • Strong written communication and editing skills and a high degree of accuracy
  • Excellent interpersonal skills and a collaborative team player
  • Ability to work autonomously
  • Analytical and problemsolving skills
  • Effective planning, organizational, coordination, and time management skills Experience working in insurance is an asset
