Job Overview:

We are seeking a highly organized and detail-oriented Executive Assistant to the C-Suite.

As an integral part of our organization, you will provide exceptional administrative support to our C-Suite executives as well as managing partner-related activities.

This position offers a unique opportunity to collaborate closely with the executive team and contribute to the growth and success of the company by conserving the C-Suites time through proactive administration.


Responsibilities:

1.

Executive Support:


  • Manage the complex calendars, appointments, and travel arrangements for the C-Suite executives.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential and sensitive information with utmost discretion.
  • Assist with meeting coordination, including scheduling, agenda preparation, and minutetaking.

Partner Relations:


  • Develop and maintain strong relationships with existing and potential partners.
  • Coordinate partner communication and respond to inquiries in a timely and professional manner.
  • Assist in the preparation of partner presentations, reports, and materials for meetings, conferences, and earnings calls.
  • Collaborate with the finance and legal teams to ensure compliance with regulatory requirements and timely dissemination of financial information.
  • Manage partner databases and maintain accurate records of partner contacts and interactions.

Event Management:


  • Coordinate executive events, including advisory meetings, conferences, and strategic planning sessions.
  • Other duties as required.

Requirements:

  • Bachelor's degree in business, finance, or a related field is preferred.
  • Minimum 3 years of experience in a similar executive assistant role, preferably within the real estate industry.
  • Strong understanding of partner relations principles, practices, and regulations.
  • Excellent written and verbal communication skills, with the ability to create compelling partnerfocused materials.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fastpaced environment.
  • Proficiency in MS Office suite.
  • Proven ability to build and maintain relationships with internal and external stakeholders.
  • High level of professionalism, integrity, and discretion when handling confidential information.
  • Knowledge of real estate markets and investment landscape in Western Canada is an asset.
